JOB SUMMARY

The Receptionist performs a wide variety of administrative functions for the company.

RESPONSIBILITIES

  • Greet visitors; answer, screen and direct incoming calls, providing information, taking messages or scheduling appointments; sort incoming mail and distribute as appropriate; make conference room reservations, catering for meetings.
  • Monitor and maintain visitor, contractor, and vehicle logbooks, issuing visitor badges
  • Collect and sort incoming mail and distribute as appropriate
  • Inventory and order office supplies and stock kitchens with coffee and paper products.
  • Assist with coordinating division, department, and external meetings.
  • Assist with copying and binding reports.
  • Act as point of contact for vending machines, office supplies etc.
  • Provide administrative support in a professional office environment make travel arrangements, coordinate meetings, and update calendars.
  • Other specific administrative, clerical support responsibilities, and project participation as assigned
  • All employees are expected to be in compliance with government and corporate laws, rules, regulations, policies, and procedures.

EDUCATION

  • High School Diploma

EXPERIENCE

  • 3-5 years of applicable experience

  • Excellent verbal and written communication skills
  • Ability to manage and prioritize multiple tasks
  • Customer service oriented
  • Must be flexible and responsive
  • Excellent interpersonal and organizational skills; strong attention to detail

  • Must maintain confidentiality and act with the highest level of ethics and integrity
  • Shows initiative and can see things to be done
  • Ability to come in early occasionally to help support Board meetings, customer meetings, etc.
  • Proficient in Microsoft Word, Excel, PowerPoint, and Email systems

PHYSICAL REQUIREMENTS

Lifting, carrying, pushing, pulling, or otherwise moving objects, weighing up to 10 pounds occasionally and/or a negligible amount of weight frequently. Involves sitting most of the time but may involve walking or standing for brief periods of time. Use of computer.
