Receptionist/Administrative Assistant

Type: Contract to Hire

Position: Reception/Administrative

Hours: Monday-Friday. 8:30-5:00PM

Annual Salary: $40,000-$45,000 (pay during contract period is TBD)

Job Requirements:


-- Greet guests and provide excellent customer service in person, via email and over the phone.

-- Answer phones and check voicemail.

-- Receive FedEx, mail, and UPS

-- Collect, send out, open and distribute mail.

-- Manage courier loop (as needed).

-- Print and copy packages for closings/settlements.

-- Copy clients IDs.

-- Notify appropriate party of clients arrival.

-- Track location & status of closings and various projects on company calendar.

-- Maintain tidy work spaces/conference rooms.

-- Maintain adequate supply of office supplies.

-- Keep a supply log, especially toner for each piece of office equipment at all times.

-- Update employee contacts telephone log and telephone/voicemail system for dial by name directory.

-- Open and assign new files.

-- Maintain the new orders log and order and track payoffs.

-- Monitor incoming loan packages, notify processors and distribute accordingly

-- Prepare title binder, wire information and send to the lender.

-- Help run monthly reports.

-- Provide assistance to agents, policy department, legal department, and post-closing department as needed.

-- Activate Digital Documents Disks.

-- Duties may include scanning, faxing, sending funding letters, etc.

-- Scan files into system

-- Make coffee, empty dishwasher, stock refrigerator and kitchen supplies/ beverages.

-- Miscellaneous additional duties as needed
