Position Summary:

Our Portland, ME office has an opportunity for a Legal Practice Assistant to join the firms expanding labor and employment practice. On a day-to-day basis, Legal Practice Assistants work under the direction of attorneys and paralegals to whom the Practice Assistant is assigned. Under general supervision, Legal Practice Assistants support the delivery of quality legal services to clients by providing secretarial and administrative assistance to attorneys, performing complex and specialized secretarial and clerical tasks, and working collaboratively and cooperatively with others in a team-oriented environment. This position supports multiple attorneys as primary assignments and also provides back-up secretarial assistance to other attorneys as assigned.



Essential Functions:
  • Interact with clients via email, telephonically, and in-person.
  • Schedule and calendar meetings and events.
  • Coordinate and review docketing deadlines.
  • Maintain electronic client files.
  • Perform court filings in multi-jurisdictions, including e-filing.
  • Assist in preparing attorneys for trial.
  • Document preparation, review, editing, and
  • Maintain attorney CLE records.
  • Perform conflict checks.
  • Prepare engagement letters and open new matters.
  • Proactively update CRM database.
  • Submit attorney expense reports.
  • Other duties as assigned.


Requirements:
  • 1+ years of experience as a legal practice assistant or legal secretary, preferably in a litigation practice.
  • Familiarity with legal terminology, legal documents, and legal processes, including but not limited to state and federal court filing procedures helpful.
  • Accurate typing, strong proofreading skills and high level of attention to detail.
  • Experience using document management helpful.
  • Strong computer proficiency in the use of MS Office, (including PowerPoint), time entry, electronic filing, and database software.
  • Excellent communication skills, written and verbal.
  • Superior organizational skills including filing, calendaring, and proofreading.
  • Time management skills and ability to work independently as well as with a team.
