**POSITION PURPOSE**

The main job function of the Executive Meeting Manager is to ensure that all group sales contracts are planned and executed at the highest level of client satisfaction and to make certain that all financial obligations to the hotel are met. Position will also include the management of guest(s), social rooms as well as to coordinate services for groups and all other social events and organizations holding meetings.

**ESSENTIAL FUNCTIONS**

**Administration**

* Comprehensive knowledge of market position, banquet and food and beverage revenues, pricing and rate structures, sales strategies, yield management, booking trends, and future hotel planning.

* Be fully knowledgeable of competitive markets outside the area.

* Be fully knowledgeable of the capabilities and limitations of the hotel and departments that may impact sales strategies.

* Implement sales policies and procedures as developed in the annual Marketing Plan.

* Establish priorities for all sales and marketing programs and projects.

* Maintain detailed records of discussions with guest, including room accommodations, all meeting setups, food and beverage, transportation, etc.

* Upsell to improve revenue generation on property.

* Be readily available during functions for consultation with client.

* Flexible schedule required to accommodate client needs.

* Preside at conference planning meetings where details related to group coordination will be discussed and reviewed by management.

* Participate in site reviews.

* Conduct exit interviews with clients to solidify repeat business and distribute results.

* Achieve and exceed individual and team annual goals as established by the annual Marketing Plan.

* Be fully knowledgeable of the role of rooms merchandising as it pertains to overall revenue and to periodically evaluate, assess, and revise the parameters of the program.

* Conduct monthly rooms merchandising training seminars for Assistant Managers, Reservations, and Front Office associates.

* Develop and maintain a job specifications department chart to include market responsibility, geographical areas, and individual sales planning including goals and objectives.

* Achieve budgeted revenues and expenses and maximize profitability related to the sales department.

* Develop short- and long-term financial and operational plans for the sales department that relate to the overall objectives of the hotel.

* Participate in the preparation of the annual hotel budget.

* Increase level of guest satisfaction by delivery of an exceptional product through employee development.

* Maintain and correct procedures for credit control, financial transactions, and security of financial assets. Respond and resolve guest requests, complaints, or questions in a courteous and timely manner. Hold subordinates accountable for same.

* Ability to accurately use various office and accounting software.

**Support**

Must have a comprehensive knowledge of the English language to effectively communicate with guests, associates, and vendors both verbal and written.

* Ability to design and prepare statistical reports and presentations as needed.

* Ability to accurately report information.

* Ability to assist with various accounting department tasks as needed.

* Ability to scrupulously follow all Driftwood and hotel policies and procedures; hold subordinates accountable for same.

* Conduct meetings with Sales staff to ensure timely communication flow including but not limited to sales goals, events, processes and procedures, motivational techniques, etc.

* Attend required meetings.

**Confidentiality and Data Protection**

Maintain the confidentiality of guest and proprietary information. This includes the following types of items:

* Unpublished financial information

* Data of Guests/Partners/Vendors/Employees

* Data entrusted to our company by external parties

* Pricing/marketing and other undisclosed strategies

* Documents and processes explicitly marked as confidential

* Unpublished goals, forecasts and initiatives marked as confidential

**Physical Requirement Specific to Position:**

* Must have a comprehensive knowledge of all hotel departments and functions.

* Hearing, writing, able to type or use keyboard.

* Minimum lifting, pushing, pulling of 20 pounds.

* Able to bend, stoop, upward reaching and manual dexterity.

* Other duties may be assigned.

**Additional responsibilities specific to position:**

* Must have a comprehensive knowledge of applicable Federal, state and local health safety and legal regulations.

* Must have exceptional mathematical and computer skills.

* Ability to timely obtain any required licenses or certifications.

* CPR training required; First Aid training preferred.

* Additional language ability preferred.

* Occasional travel required.

**OTHER**

Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment.

Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. In addition, attendance at all scheduled training sessions and meetings is required.

Upon employment, all employees are required to fully comply with Driftwood Hospitality Management rules and regulations for the safe and effective operation of the hotel facilities. Employees who violate hotel rules and regulations will be subject to disciplinary action, up to and including termination of employment.

* Any other duties as assigned by leadership of Driftwood Hotel Management.

**EDUCATION**

* High school or equivalent education required.

* Bachelors degree in Hospitality or related field preferred.

**EXPERIENCE**

* Minimum of 3 years experience in Executive Meeting Management required.

* Advanced PC skill, knowledge of Outlooks 365, Word, Excel, Power Point.

* Marriott brand system experience with PMS Marsha & Bonvoy preferred

**DRIVER LICENSE**

Ability to provide and maintain a valid drivers license as the position may require the operation of vehicle.

**SCHEDULE**

Must be able to work varying shifts between 7:00 a.m. and 11:00 p.m. based on business demand, including weekends and holidays.

**GROOMING**

All employees must maintain a neat, clean and well-groomed appearance per

Driftwood Hospitability Management and Brand standards.
