Authorization Administrative Assistant

Under the direction of the Sr. Director - Operational Support, IT, and Rehab and coordinating with the Lead Authorization Nurse, the Authorization Administrative Assistant is responsible for the orderly flow of communication between the authorization team and its customers, both internal and external. This includes but is not limited to phone calls, participant information, authorization data, and coordination with external medical providers.

Specific Duties and Functions

  • Accurate typing ability from rough draft; prepares reports and other correspondence as assigned.
  • Able to successfully navigate EMR for essential participant information including schedules, admissions, assigned centers and care team members.
  • Maintain department databases including those incontinence supplies, orders, deliveries, tracking, and related participant demographics.
  • Acts as primary point of department phone contact, providing key information around existing authorizations and/or connecting callers to correct team members or center staff as needed. Tracks repeat requests/calls from external sources and escalates as needed when required information not obtained.
  • Collaborates with key center staff as needed to facilitate communication with partner facilities regarding participant care needs.
  • Assists Authorization Team with data collection, reporting, and other information management needs or reports as directed.
  • Adheres to deadlines as established with the ability to prioritize as needed, meeting established deadlines.
  • Schedules meetings, coordinating calendars with other team members as required.
  • Compiles minutes from meetings and distributes including relevant handouts or attachments.
  • Other duties and special projects as assigned.


Skills, Knowledge, and Abilities Required

  • Associate degree required; bachelor's degree preferred.
  • Requires 1 - 2 years of progressively responsible administrative work experience; requires experience in medical authorizations, insurance authorization, or equivalent.
  • Requires proficiency with MS Office including Outlook; requires experience and proficiency in using an Electronic Medical Record (EMR).
  • Attention to detail and follow-through.
  • Excellent interpersonal communication skills including problem resolution.
