**ADMINISTRATIVE SUPPORT SPECIALIST**

Salt Lake City, UT Friends of the Children is a nationally recognized, dynamic, non-profit mentoring organization serving children who face the biggest barriers in life. We are an independent member of a national network, founded 27 years ago in Portland, Oregon. We hire full-time, salaried Mentors to walk beside each child from kindergarten through high school graduation 12+ years, no matter what!

We opened our doors in Utah in 2020 and, in less than two years, we have grown from 2 to 12 employees and looking to continue growing so we can serve more youth and families.

Job Description: **This part time (20-25 hours/week) position includes benefits with an opportunity to develop into full time depending on workload and funding availability.**

We are seeking an individual with an interest in non-profit work to help our growing organization serve our children and families. A successful Administrative Support Specialist is motivated, hardworking, highly organized, flexible, collegial, and excited about the opportunity to help children break the generational cycle of poverty.

As our Administrative Support Specialist, you will report directly to our Development Director but below you can see how you will support all departments of the organization.

Development

* Support marketing and social media platforms

* Data entry and reporting of donor database (CRM)

* Work in collaboration with Development Director on monthly Friends newsletter

* Coordinate donor gratitude engagement strategy

* Assist with event and giving campaign planning including in-kind donation tracking

* Research new sources of revenue through grant research and support completion of grants in collaboration with the Development Director and National Grants Specialist

* Provide additional support to development as needed

Program

* Provide administrative support on key Program matters such as child selection and enrollment, annual recertification of Program participants, and management of school rosters

* Provide support for food deliveries, holiday gift program, and other similar projects

* Interface with children, families, and outside parties such as in-kind donors and school partners

* Assist the Program Team with entry and review of data in our Efforts to Outcomes database

* Maintain Program calendars and schedule both internal and external meetings

* Coordinate access to meeting spaces

* Provide additional support to the program as needed

Operations

* Assist in onboarding new employees

* Manage office supplies & inventory

* Order and set up meals at staff meetings, board meetings, and off-site meetings

* Ensure common areas are kept clean and organized

* Manage relationships with vendors

* Help to create and maintain a professional, collegial workplace

* Greet staff, children, office visitors and community members with a positive and professional demeanor

* Assist with completing weekly financial reporting tasks

* Provide additional support to management and staff as needed

In general, your work schedule will be 5 hours per day, 4 days a week, e.g., Monday through Thursday 9:00am 2:00pm, with occasional evening work for fundraising, events, and program activities. The schedule will be consistent but options on times will be discussed during the interview process.

**Required Skills and Experience**

The ideal candidate will thrive in a fun, collegial work atmosphere, will welcome the dynamic challenges of a fast-growing organization, and will have:

* Spanish speaking strongly preferred

* A high school diploma or equivalent; Associates or Bachelors degree preferred

* Three or more years of relevant experience, preferably including office management

* Ability to work positively with staff members, children, families, and outside parties from a variety of diverse backgrounds

* Awareness of strengths-based communication and work

* Outstanding organizational and time management skills

* Ability to plan and implement multiple projects concurrently, meet deadlines and follow up as required

* Strong written and verbal communication skills

* Positive, team-oriented attitude, as well as a sense of humor

* Ability to take initiative, anticipate and resolve issues

* Excellent MS Office 365 skills, including ability to produce professional quality correspondence and reports

Salary

$16.00 - $18.00 an hour, depending on experience
