Our client, a Senior Partner of a family-owned Investment Firm seeks an experienced Personal Assistant.
This position is located in Great Neck, NY. Our client seeks a trustworthy, highly motivated, detail oriented, and well-spoken Personal Assistant to manage and provide administrative business and personal support.
Responsibilities:
- Management of personal & business calendars.
- Handle all calls & email requests.
- Scheduling of meetings, appointments, travel, dinners etc.
- Review & process all billing working closely with accounting department.
- Manage all necessary IT needs/request for home & office.
- Perform banking (withdrawal & deposits).
- Detail expense reporting.
- Work with tax department for 1099 s yearly filings.
- Handle annual tax grievances for all properties.
- Process donation requests.
- Process family medical insurance claims.
- Review all incoming/outgoing mail and expediate accordingly.
- Maintain & update all documents & files.
- Keep record of timesheets & weekly payroll for domestic help.
- Keep record & maintain up to date inspection, registration, insurance, and maintenance for all vehicles.
- Liaison for caretakers / groundskeepers for residences.
- Liaison for contractors for projects keeping up with timelines.
- Set up home repair & service appointments.
- Track and ensure yearly tax filings for entities are paid and processed.
Requirements:
- Highest level of confidentiality, professionalism, integrity, and discretion.
- Professional demeanor, and communication skills.
- Excellent judgment and decision-making skills.
- Strong problem analysis and problem-solving skills.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel). And must have QuickBooks
- Knowledge of Yardi software a plus.
Hours: 9 to 5
This position is hybrid (3 days in the office / 2 remote). During training this position will be 5 days a week in the office.
Salary $75,000 to $90,000 depending on experience.
