Job Summary: As an Administrative Assistant , you will play a pivotal role in ensuring the smooth functioning of our day-to-day operations. You will be responsible for coordinating various operational tasks, supporting the management team, and contributing to the overall efficiency of our company.
Key Responsibilities:
- Coordinate and oversee the execution of operations activities.
- Assist in the development and implementation of operational policies and procedures.
- Manage scheduling, workflow, and deadlines for multiple departments.
- Monitor and procure necessary office supplies and equipment.
- Liaise with other departments to ensure operational alignment and efficiency.
- Handle logistics for shipping and receiving, inventory management, and order fulfillment.
- Prepare and present reports on operational performance to senior management.
- Assist in budget preparation and expense management for the operations department.
- Ensure compliance with federal, state, and local operational regulations and laws.
- Provide administrative support as needed.
- Additional Responsibilities:
Social Media Marketing:
- Collaborate with the marketing team to develop and execute social media strategies.
- Manage social media accounts, create content, and engage with the audience.
- Monitor social media analytics and adjust strategies as needed.
- Executive Support:
- Provide administrative assistance to executives, including calendar management, travel arrangements, and meeting coordination.
- Draft and proofread executive communications, presentations, and reports.
Contracts Management:
- Assist in drafting, reviewing, and maintaining contracts with vendors, clients, and partners.
- Ensure compliance with contractual terms and conditions.
- Vendor Liaison (IT and Others):
- Serve as the point of contact for IT vendors, addressing technical issues, procurement, and service agreements.
- Collaborate with vendors to optimize technology solutions and troubleshoot any operational challenges.
Qualifications:
- Bachelor s degree.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and other operational software.
- Ability to work independently and as part of a team.
- Detail-oriented with a problem-solving mindset.
