We are looking for a Hotel Administrative Specialist to join our fast-paced, energetic hotel team! Our Hotel Administrative Specialists are the front-lines of our Hotel Department. Claims correspond with each new family ALE assists every day. As a Hotel Administrative Specialist, you will receive and track each new claim submitted to ALE, ensuring each family is assigned to an emergency housing coordinator quickly.

The Hotel Administrative Specialist position is a full-time opportunity, requiring flexibility for a Tuesday-Saturday, 10am-7pm work schedule. Candidates for this position must have exceptional ability to manage fast-pace work and computer technology simultaneously.

In this position, you should expect to:

* Maintain (TM) Task Manager, by moving tasks to the appropriate pages.

* Move tasks in TM that come through the form response page.

* Assign tasks in TM to employees.

* Assist in taking and entering new claims.

* Assist with entering new claims into ACT Database, ensuring accurate and complete information using MyALE Claims portal.

* Assign and distribute all new claims to a Hotel Coordinator based on data in the shared run rate document.

* Assist with any projects assigned by the Hotel Operations Manager or Lead Administrative Coordinator.

* Assist with electronic documentation filing and updates in ACT Database, ensuring accurate and complete information.

* Assist with Policy Holder Text Notification execution and maintenance.

* Call hotel to confirm check out and other HSS tasks as assigned.

* Assist with HA collection by sending reminder emails or calling clients.

* Call hotel to confirm if clients checked in when Hotel Night Audit is unable.

* Update card limits and end dates thru JP Morgan SUA Program.

* Confirm hotels have received paperwork on new bookings.

* Other duties as assigned.

The ideal candidate will have:

* Office experience preferred.

* Experience and comfortability with Microsoft Word, Excel, and Outlook.

* Excellent verbal and written communication skills.

* The ability to stay organized and multi-task.

* Problem solving and critical thinking skills.
