**Description**

**ESSENTIAL FUNCTIONS**

* Serve visitors by greeting, welcoming, and directing them appropriately, with a strong focus on customer service.

+ Assists visitors with parking validations, beverage offerings, coat & luggage storage and provide brief overview of key areas within the office space (i.e., restrooms, beverages, destination).

* Anticipate guests needs to accommodate and provide an exceptional guest experience

* Work with security to ensure visitors are registered for access prior to arrival and work with colleagues to ensure a visitor escort is available to our office space.

* Maintain a presentable, safe, and clean reception area by complying with procedures, rules, and regulations. Ensure guest spaces and common areas are tidy at all times.

* Maintain security by following proper procedures, monitoring visitor registration, and issuing visitor access cards.

* Answer, screen and forward incoming phone calls and online inquiries to proper colleagues. This position is the main point of contact for the Corporate office.

* Place and receive catering orders, inform administrative staff of arrivals, and assist with set up and breakdown of all catering.

* Assist vendors, shipping carriers and receive deliveries. Communicate deliveries to Office Manager to ensure proper distribution.

* Maintain conference room schedules. Ensuring meetings do not overlap and time limits are adhered to.

* Maintain clean and presentable conference rooms at all times.

* Arrange reservations at local establishments and carry out unique requests such as searching for hard-to-find items or services needed.

* Ensure knowledge of staff movements in-and-out of organization for effective communication.

* Negotiate corporate hotel rates, maintain, and distribute rate list to colleagues periodically.

* Receive and upload images to Asset Bank.

* Assist with the coordination of on-site and off-site events as needed.

* Maintain WELL logs for our WELL certification throughout the year.

* Assist the administrative team with expense reports on a monthly basis.

* Ability to prioritize and juggle multiple tasks/projects ensuring deadlines are met in a timely manner.

**POSITION REQUIREMENTS AND QUALIFICATIONS**

**Education and Experience**

**Minimum:**

* High school diploma, GED and/or 0-2 years related experience

* Passion for customer service

* Problem solver with the ability to find solutions suitable to many differing ideals

* Ability to be resourceful and proactive when issues arise

* Working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook

* Pleasant and professional demeanor and appearance; diplomacy is a must

* Reliability

* Stress tolerance with ability to handle interruptions throughout day

**Desired:**

* High School Diploma and 2+ years related experience

* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook

* Excellent keyboard skills

* Proficient computer operating skills and relevant software applications

* Customer service orientation

* Cheerful disposition

* Attention to detail

**Work Environment (Office)**

* Professional office environment

* Typical working hours are M-F, 8:00am 5:00pm

* Ability to carry 25+ pounds (computer, files, etc.) with or without accommodations

* Must have reliable transportation
