The Executive Assistant provides high level administrative support to the Chief Executive Officer. We are looking for a true right hand gatekeeper to handle all things administrative. The ideal candidate has over 10 years of experience supporting a busy executive in the C-Suite, preferably in the finance or technology space. Great organizational skills, great attention to detail and a warm, positive cheerful attitude that is also very calm and reassuring highly desired.
This is an in-person position 5 days in the office. The Executive Assistant s role is crucial in ensuring the smooth functioning of the CEO s office and enabling him to focus on his core responsibilities. The ideal candidate should be detail oriented, extremely professional, and a creative problem solver.
Responsibilities
- Support the CEO as a true right-hand gatekeeper handling complex calendar management, communicating with clients on the CEO's behalf, and prioritizing meetings/appointments!
- Prioritize emails from inbox and craft responses for the CEO; prepare letters and documents that are dictated from the CEO.
- Arrange domestic and international travel arrangements and detailed itineraries.
- Attend business meetings/Executive Leadership Meetings with the CEO and takes notes, follow-up on action items.
- Coordinate with other internal executives and the CEO's direct reports for gathering information for meetings, presentations.
- Off hour availability via cell, within reason
- Provides high-level administrative support and assistance to the Chief Executive Officer and/or other executives.
- Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, slide decks and other documents for executives.
- Schedules and attends meetings on behalf of CEO, taking notes and recording minutes.
- Receives incoming communication or memos on behalf of executives, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Serve as a liaison between staff, executives, and senior leaders.
- Assist with event planning, including catering and scheduling.
- Performs additional duties as assigned by executives.
Requirements
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail with the ability to multitask with great follow-up skills.
- Excellent time management skills with a proven ability to meet deadlines.
- Experience in managing multiple priorities, administrative coordination, and logistics.
- Ability to function well in a high-paced and at times stressful environment.
- At least 8 years of experience as an Executive Assistant to an executive in the C-Suite. The ideal candidate has worked in the finance or technology space highly desired.
- High level of integrity and discretion in handling all confidential information; high emotional and analytical intelligence; a true problem solver that needs very little direction.
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
- Bachelor s degree required.
- Minimum of five years as an executive assistant to a CEO, CFO or COO.
