Description

Position Title: Administrative Assistant (Accounting)

Reports to: Finance Manager

Location: Kalamazoo, MI - Corporate Office

Employment Status: Full-Time or Part-Time

FLSA Status: Non-Exempt

Position Summary: We are a small but fast growing independent business and we are looking for an awesome, detail oriented, Administrative Assistant who loves numbers and would like a challenging position in a collaborative environment supporting our Finance Department. We want a team member to grow with us. We need a technically proficient candidate who wants to continue learning and growing with the company. A candidate who has experience with invoicing, and payroll processing is preferred but not required. We will provide training, but the ideal candidate will already align with our core values of SOAR (Strong Integrity and Ethics, Outstanding Teamwork, Accountability-Driven and Relentless Pursuit of Quality).

Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Assist with accounts payable and accounts receivable activities, including invoice processing and payment tracking.
  • Reconcile bank statements and credit card statements to ensure accuracy and completeness.
  • Provide support for audits and other financial reviews, including gathering necessary documentation and preparing reports.
  • Process expense reimbursements, ensuring adherence to company policies and procedures.
  • Communicate with vendors, clients, to resolve financial issues and respond to inquiries.
  • Support the finance manager with special projects and tasks as needed.
  • Collaborate with other departments and team members to ensure accurate and timely financial reporting.
  • All other duties as assigned.

Requirements

Qualifications:
  • 1 year experience working in office is preferred
  • Experience as an Administrative Assistant is preferred
  • Valid driver's license
  • Excellent verbal communication skills and telephone manner
  • Excellent and accurate written communication
  • Familiarity with Windows operating systems; online calendars and cloud systems; intermediate to advanced skills Microsoft office products required
  • QuickBooks and NetSuite experience preferred
  • Excellent attention to detail; accurate data entry
  • Customer Focused and team-oriented work ethic
  • Able to multi-task efficiently and accurately, focusing on quality
