The Position

JOB SUMMARY:

Polyconcept North America (PCNA) is one of the leading suppliers of promotional products in North America, operating under various brand divisions. JournalBooks, a division of PCNA, specializes in producing high-quality custom journals and notebooks for businesses and organizations.

The Administrative Assistant provides comprehensive administrative support to JournalBools, reporting to the President of JournalBooks within the Polyconcept North America organization. The ideal candidate will be detail-oriented, possess excellent communication skills, and thrive in a fast-paced environment. The Administrative Assistant plays a pivotal role in providing administrative support to various departments including the sales team, human resources, office support, and production support. This position involves a wide range of tasks including assisting with coordinating schedules, managing office supplies, facilitating processes, providing support to sales and production teams, and organizing employee events.

FUNDAMENTAL DUTIES:
  • Executive Support: Provide high-level administrative support JournalBooks, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Office Management: Oversee office operations and maintain office supplies, ensuring efficient day-to-day functioning of the office. Working with internal departments to order all department supplies.
  • Meeting Coordination: Organize and coordinate internal meetings, including preparing agendas, scheduling rooms, taking minutes, and distributing meeting materials as needed. Assists with the new hire onboarding process, supporting the Corporate HR team during online orientation by setting up on-site location to conduct virtual new hire orientations.
  • Document Management: Assist in the creation, editing, and distribution of various documents, presentations, and reports.
  • Project Assistance: Provide administrative support for special projects and initiatives led by the President, including research, data analysis, and coordination with cross-functional teams. Administers the charitable donations program for JournalBooks.
  • Confidentiality: Handle confidential information with discretion and maintain a high level of professionalism in all interactions.
  • Relationship Management: Build and maintain positive relationships with internal stakeholders, external partners, and clients on behalf of the President. Answers basic employee questions about policies or offerings with input from JournalBooks leadership and Human Resources. Handles and directs employee inquires to the proper resources.
SKILLS AND KNOWLEDGE:

Excellent organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills, including proficiency in Microsoft Office Suite.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Exceptional attention to detail and accuracy.
  • Proactive mindset with the ability to anticipate needs and solve problems independently.
  • Professional demeanor and strong interpersonal skills.
MINIMUM QUALIFICATIONS REQUIRED:
  • Bachelor's degree or equivalent experience preferred.
  • 0-2 years' experience in office administration.
  • Proven experience in an administrative support role, preferably supporting C-suite executives.
