Position Overview:

The Office Operations Coordinator assists in ensuring the smooth operation and appearance of our high-end, high-service Boston headquarters. The role s primary responsibility is maintaining a clean, well-stocked office. Additionally, this individual serves as the office s morning receptionist from 8:00 9:00am daily and also covers the receptionist s breaks throughout the day.


Responsibilities include:

Office Upkeep:

  • Open the office each morning (unlock doors, refill refrigerators, stock paper products, and put out breakfast items)
  • Review and maintain the state of the office frequently throughout the day to ensure everything is stocked and in working order
  • Check all conference rooms daily to ensure they are clean and stocked
  • Respond to email requests in a timely manner; follow up when task is complete
  • Manage and organize storage closets


Maintenance:

  • Keep kitchen refrigerators adequately stocked with beverages
  • Order and stock snacks and other kitchen offerings
  • Ensure adequate stocking of kitchen supplies throughout the day; order supplies as needed
  • Empty dishwashers
  • Clean counters, microwaves, water coolers, and coffee machines
  • Assist with catering setup and breakdown daily


Mail/Shipping:

  • Sort and deliver all incoming US mail, UPS/FedEx, and internal mail
  • Post and deliver all outgoing mail to building mailroom
  • Retrieve packages from building mailroom and deliver as needed throughout the day


Supplies:

  • Assist with monitoring and maintaining an adequate stock of supplies in the mailroom, order supplies when needed.
  • Serve as a resource for employees looking for specific supplies.
  • Maintain adequate stock of copy supplies in all copy areas and paper supplies in copiers.
  • Assist staff with large copy/binding projects when needed.


Miscellaneous:

  • Reception coverage (mornings 8-9am) and as needed throughout the day
  • Reception vacation/sick day coverage
  • Move office furniture and boxes as needed and directed
  • Assist with special projects as needs arise

  • Experience in a professional business environment
  • Good time management, prioritization, and multitasking abilities
  • Ability to be active and on your feet for a significant portion of the workday
  • Excellent interpersonal skills to build strong relationships with colleagues
  • Effective communication, including speaking, writing and active listening
  • Strategic planning and problem-solving skills

Compensation and Benefits:
