Job Details

At Fortis, the Payroll Specialist will be responsible for accurate and timely processing of payroll for employees within the organization. This role involves meticulous attention to detail, adherence to payroll regulations and policies, and effective communication with both internal and external stakeholders. Our Payroll Specialist plays an important role in the employee experience, making sure they are compensated accurately and on time.

Key Responsibilities

  • Process payroll transactions for all seven (7) Fortis entities in the U.S., accurately and timely, including but not limited to salary adjustments, overtime, bonuses, commissions, and deductions.
  • Maintain payroll records and ensure data integrity by accurately entering and updating employee information in the payroll system.
  • Verify timekeeping records and resolve any discrepancies with employees or managers.
  • Calculate and process payroll taxes, including federal, state, and local withholdings, as well as Social Security and Medicare contributions.
  • Prepare and distribute paychecks or electronic deposits to employees on designated pay dates.
  • Respond promptly to employee inquiries regarding payroll matters, such as pay discrepancies, tax withholding forms, and payroll policies.
  • Assist in the preparation and filing of payroll reports, including quarterly and annual tax filings, as required by regulatory agencies.
  • Stay updated on changes in payroll regulations and compliance requirements to ensure accurate processing and adherence to legal standards.
  • Collaborate with HR and finance departments to resolve payroll-related issues and improve payroll processes.
  • Maintain confidentiality of payroll information and ensure compliance with data protection regulations.

Qualifications

  • High school diploma or equivalent; associate or bachelor's degree in accounting, finance, or related field preferred.
  • Proven experience working in payroll administration role, with a strong understanding of payroll principles, practices, and regulations.
  • Proficiency n using ADP Workforce Now payroll software and MS Office applications, particularly Excel.
  • Excellent numerical aptitude and attention to detail.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Effective communication skills, both verbal and written, with the ability to interact professionally with employees at all levels.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong problem-solving skills and the ability to resolve issues independently or collaboratively.
  • Knowledge of payroll tax regulations and compliance requirements preferred.
  • Certification in payroll administration (e.g., CPP) is a plus.
