Compliance Legal Assistant (Full Time)

Location: Tallahassee, FL (in-office)

Schedule: Monday - Friday from 8:00am - 5:00pm

Compensation: Competitive annual salary plus benefits package (see below for details)

Summary of Qualifications:

  • High school degree or equivalent, some college preferred
  • 5+ years of professional administrative experience (preferably at least 3 within the legal field)
  • 1+ years of professional experience with the Microsoft Office suite of products

About Us: WilliamsGautier is a team of lawyers in Tallahassee, FL, committed to providing exceptional legal representation and services through a collaborative work atmosphere. We are looking to add a Legal Assistant to our compliance practice group. This group provides legal services and regulatory guidance on a wide variety of issues including compliance, legal audits, institutional matters, mergers, contracts, and day-to-day business operations. With a combined 60 years of experience in the industry, our team members are known throughout the state as experts in our field, and this wouldn t be possible without a strong administrative support system.


About this position: This Legal Assistant will report directly to two Credit Union Compliance Group attorneys, as well as aid the practice group Paralegal. Duties include handling client communication, managing files, file maintenance tasks, and general office duties. We are open to training the right person, but there are a few non-negotiable skills we are looking for. The ideal candidate is someone who:

Essential Tasks of the Compliance Legal Assistant:

  • Intercept attorney calls and arrange phone conferences
  • Schedule client management visits and other appointments for attorneys via their MS Outlook calendars
  • Review MS Outlook folders, print and follow-up on attorney work products sent by attorneys
  • Initiate, develop, and maintain organized files (both paper and electronic), scanning and pulling materials as requested
  • Monitor and update attorney task lists within larger compliance area task list
  • Proofread and finalize letters and other documents as needed
  • Review and post attorney time for billing purposes
  • Book travel arrangements such as flight, hotel, and rental car
  • Communicate professionally with internal and external players (in person, over the phone, over email)
  • Handle a variety of administrative tasks as delegated


Requirements

This job might be for you if you:

  • Have 5+ years of administrative experience beyond school (required)
  • Have 3+ years of law firm work experience (preferred)
  • Are proficient within the Microsoft Office suite of products (particularly Word, Excel, and Outlook) as well as Adobe Acrobat (required)
  • Have experience within Perfect Law (preferred)
  • Are computer-savvy and capable of picking up new programs quickly
  • Can commute to our Tallahassee-based office
  • Can work 8:00am - 5:00pm, Monday Friday
  • Can pass a criminal background check
  • Can pass a proofreading assessment prior to being interviewed
