SUMMARY:

Under the supervision of the Director of Facilities; provides administrative support for the Maintenance Department.

$18.00 or DOE

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Performs administrative/clerical duties for the purpose of assisting the Director in the performance of their work and the efficient operation of the Maintenance Department.
  • Answer telephones and takes messages for the maintenance team when they are not available.
  • Maintain schedules for the maintenance team; reminders of important meetings and dates of events.
  • Maintain all work orders that are required for the Maintenance Department.
  • Place necessary order for supplies to vendors.
  • Process incoming and outgoing mail.
  • Assist employees with questions and other miscellaneous duties.
  • Type and distribute various reports to management.
  • Type and distribute weekly employee schedules.
  • Types various reports for Director of Facilities.
  • Prepare new files for employees, contracts, work orders and correspondence.
  • Sort and distribute incoming mail and outgoing mail.
  • Maintain office supply inventory.
  • Attends meetings for the purpose of conveying and/or gathering information required to perform functions.
  • Prepares reports for Director as needed.
  • Maintains various records and compiles pertinent information for Director's use.
  • Responds to inquiries for the purpose of providing information and/or direction.
  • Assists Facilities department personnel as required in supporting them in the completion of their work activities.
  • Maintains records/files for the purpose of documenting and/or providing reliable information for the department.
  • Processes business documents and materials (e.g. purchase requisitions, purchase orders, work orders, agendas, mail, etc.)
  • Regular and punctual attendance required to meet essential functions of job responsibilities.
  • Complies with Federal, State and Tribal laws.
  • Works in a safe manner; complies with company and OSHA safety regulations.
  • All other duties as assigned (non-gaming functions and issued gaming license permitting).

  • Knowledge of office procedures and basic bookkeeping procedures; data input.
  • Strong knowledge with MS Office, including Word, Excel, PowerPoint and Outlook.
  • Demonstrates effective human relations skills.
  • Ability to communicate effectively with individuals and groups, both verbally and in writing.
  • Ability to perform multiple tasks.
  • Ability to prioritize work and make good decisions in the absence of the Director.
  • Ability to work under standardized instructions and/or routines; provide information and/or advising others; and operating within a defined budget and/or financial guidelines.
  • Ability to work flexible hours, shifts or days as determined by business demands.

QUALIFICATIONS & REQUIREMENTS:

High school diploma, GED or combination of education and administrative assistant experience. Must have computer knowledge. Secretarial experience in maintenance, and construction, or combination of experience and education. Command of business English and able to write letters using correct grammar, spelling, and punctuation. Communicate with others in a clear and precise manner, problem solving, analyze issues, create plans of action and reach solutions. Maintain confidentiality of records and correspondence. Relates to the public, staff and administration in a positive manner. Modern office practices, procedures and equipment required to perform office functions in an efficient manner.

While performing the duties of this Job, the employee is regularly required to sit; use hands to handle or feel and talk or hear. The employee is frequently required to reach with hands and arms. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

WORK ENVIRONMENT:

Indoor office environment. This position regularly works indoors in an enclosed office with interruptions on a daily basis. Work at a computer under fluorescent lighting most of the day. The noise level in the work environment is generally quiet to moderate and may become excessively noisy at times. Will have contact with employees, external agencies and the public.
