Summary Description


This position creates a first, ongoing, and lasting impression of Perez Trading Company. Sales Support Assistants interact with customers by responding to inquiries, inputting orders, verifying orders, giving accurate information on expected delivery dates, and responding to initial inquiries. Incumbent must be customer centric and are critical to the success of Perez Trading Company in dealing with customers.


Strong proactive customer service helps build the Perez Trading Company s brand and sales helps differentiates Perez Trading Company from our competitors. The Sales Support Assistants are the bridge between sales, production and logistics requiring strong effective communications to properly convey customer needs and work with the entire operations team to meet them.


Essential Duties - Must effectively carry out the essential duties and responsibilities of this position in a manner that consistently demonstrates Perez s mission and core values in a positive manner. Perez Trading retains the right to change or assign other duties to this position.

  • Remain in compliant with Perez s core values of being results driven, customer centric, innovating, ethical, respectful and detailed oriented.
  • Receive, acknowledge and process quotes using SAP software.
  • Contact customers following the sales quote to confirm order, make changes to orders or verify delivery schedule.
  • Verify billing invoices ensuring pricing, credit and terms are in accordance with standard procedures, customers' profiles and shipping records.
  • Generate accurate and complete purchase orders for stock, work with vendors to confirm pricing data, schedule shipping and record the order at the time of the request ensuring proper approvals from the Sales Managers have been secured.
  • Submit shipping orders to the Logistic department and follow-up as needed to ensure timely delivery of stock and provide shipping updates to customers and sales team.
  • Report frequently on order status, communicate if concerns with credit line surfaces and inform shipping delays immediately to both the customer and sales team.
  • Record customer inquiries and provide a detail report of concerns using probing techniques to capture the information needed to up to the Sales Managers.
  • Accurately take the information inquiries from potential customer inquiries, probe for additional information, and transmit to the appropriate Sales Manager.
  • Set up and maintain customer files and database. Ensure customers' names, addresses, billing information, and product specifications are accurately entered in customer profile.
  • Sends out product samples and technical specifications that are requested new and existing customers.
  • Attend and actively participate in Departmental meetings.
  • Be proficient with telephones, fax machines, personal computers, and the internet in efficiently receiving and transmitting information to customers.
  • Support other Sales Support Assistants while away from their desk and or during leaves of absence.

  • Experience with ERP systems
  • Ability to work with mathematical concepts
  • Excellent written and verbal communication skills
  • Excellent organizational and time management skills
  • Proficient with Microsoft Office Suite or similar software
  • Bilingual English/Spanish preferred


Education and/or Experience: An Associates degree in business administration or accounting is required. A minimum of 2 years of proven experience in a customer service role is required or any combination of experience in sales support activities equivalent to seven (7) years may be a substitute for the required education and experience.

Physical Requirements:

  • The employee is required to remain in a stationary position 50% of the time, exchange information and ideas so others will understand and have the ability to discuss inquiries with others. Incumbent must be able to move around in the office, frequently ascend/descend a set of stairs; operate a computer and other office equipment, and
  • The employee is required to traverse and constantly positions self to maintain files in file cabinets extending from the ground up to about 6 feet height as well as computer equipment and supplies. The employee must be able to lift 20-pound boxes. Specific observation abilities required by this job include observing details at close and long range.


Work Environment:

  • The noise level in the work environment is usually quiet.
