About the role
The Maintenance Administrative Coordinator seamlessly handling the day-to-day office operations of our Landscape Maintenance Department. This position is distinctly dual-focused, combining the nuances of both customer service and administrative expertise. This position utilizes strong organizational and customer-service skills to ensure the smooth and efficient execution of all landscape maintenance projects.
Responsibilities
Provide outstanding customer service to clients either over the phone or through online support requests
Build proposals per the sales team notes
Answer client questions and concerns regarding status of jobs, scheduling, or suggestions
Maintain accurate records of project details including work orders, job progress, and inventory
Follow up with existing database of potential customers on a regular basis
Process proposals in ERP system to ensure they are ready to be ordered and scheduled
Assist with some accounting and clerical tasks such as accounts receivable and billing for completed jobs
Identify opportunities to offer additional services to existing clients and increase revenue
Provide administrative support such as record keeping, filing, and minute-taking
Assist with special projects as assigned by Director of Administration or Director of Landscape Maintenance
Competencies and Qualities
Ability to handle client inquiries, resolve issues, and maintain positive client relationships.
Understanding of effective customer service principles.
Proficiency in using office productivity tools such as Microsoft Office (Word, Excel, Outlook) or similar software.
Comprehensive understanding of the sales process, from lead generation to closing deals.
Basic understanding of different types of plants, trees, and grasses commonly used in landscaping beneficial.
