Job Overview

This is a specialized position responsible for performing tasks associated with Loudoun County Public School Board payroll policies and regulations. This position will verify employee data and prepare verification of employment documentation. This position will be the primary person to answer the Payroll Divisions telephone inquiries. This is a fast-paced position and this person must have knowledge of payroll procedures to be able to respond to inquiries from employees.

Roles and Responsibilities

The following information is intended to describe the overall nature and scope of the work being performed. This is not a comprehensive listing of all responsibilities or tasks; work may differ and other work may be assigned when deemed appropriate.

  • Responds to all payroll inquires, through telephone, email, & in person communicate for the Payroll Division.
  • Verifies accuracy of all new employee data in the Oracle system; distributes paperwork to respective personnel for processing.
  • Responds to inquiries regarding timecards, deductions, earnings, leave balances, direct deposits, & payslips.
  • Prepares verification of employment for housing, rentals, & mortgages.
  • Prepares stop/void/reissue payment requests.
  • Processes deductions from employees' pay for W-2 reprints & overpayments.
  • Scans payroll documentation for records retention.
  • Assists employees with setting up & viewing their electronic payslips, direct deposits, tax withholding forms, & Form W-2.
  • Manages all purchase card transactions & bookkeeping for the Payroll Division.
  • Issues Rapid Pay Card (payroll card) to employees.
  • Responds to subpoena requests by providing payroll documentation.
  • Shreds the division's confidential payroll documents.
  • Manages the mail for the entire division, including sending, receiving, and distributing.
  • Reserves and setup meeting rooms for payroll related events.
  • Maintains the content on internet & intranet for the Payroll Division.
  • Maintains and tracks of all payroll equipment & supplies.

Qualifications

Below are the minimum qualifications for this job. Equivalent combinations of education and experience are also acceptable.

Education

High school graduate or GED required

Experience

Experience in working with automated payroll system; or any equivalent combination of education, experience, and/or training to demonstrate the standards, concepts and guidelines to perform the responsibilities of the position

Knowledge, Skills and Abilities
  • Knowledge of payroll processing procedures, and standard office practices, procedures, and equipment
  • Ability to operate standard office equipment such as photocopiers, scanners, printers, eFax, & personal computer
  • Strong communication skills
  • Experience in collaborative teamwork
  • Strong ability to organize
  • Ability to work under pressure with frequent interruptions
  • Knowledge of Microsoft Office

Salary Scale:

Salary Range: $24.08-$30.97

Employees who are non-exempt and are working remotely will work their regular scheduled hours and gain prior approval from their supervisor if they work more than 8 hours a day or more than 40 hours in a workweek. Remote work privileges can be amended, changed, or revoked based upon the performance of the employee, as well as the needs of Loudoun County Public Schools.
