POSITION SUMMARY: The Patient and Family Support Services Program Coordinator plays a pivotal role in addressing food insecurity and enhancing the overall well-being of patients within the VCU Massey community. This includes maintaining equipment and supplies, supporting wellness practitioners, and assisting with client intake processes. This position will report to the Massey Project Manager and Manager Oncology for Clinical Administration. The Patient and Family Support Services Program Coordinator plays a multifaceted role in supporting the holistic needs of patients within the VCU Massey community, ensuring access to essential resources, promoting wellness, and fostering a supportive environment for healing and recovery.

Duties & Responsibilities:

Food Insecurity Responsibility

  • Serve as a point of contact to assist with data collection and food distribution for patients with food insecurity.
  • Engage with VCU Massey community and community at large to assist with identified needs and raise awareness about available resources.
  • Partner to maintain relationships with local organizations, businesses, and individuals to support food security efforts.
  • Maintain relationships with VCU Massey staff, VCU Health System staff, local organizations, businesses, and individuals to support and enhance food security efforts.
  • Leverage these partnerships to enhance the reach and effectiveness of food security initiatives.
  • Assist with overseeing the distribution of food resources, including coordinating logistics, managing inventory, and ensuring efficient operations.
  • Assist licensed staff as needed with educational programs on nutrition and cooking skills.
  • Review training materials with individuals and communities on sustainable practices to enhance food security.
  • Assist with seeking funding opportunities through supporting individuals and the team with grant writing, fundraising events, and partnerships.
  • Assist with training, and overseeing volunteers involved in food distribution, education programs, and other initiatives.
  • Ensure a positive and productive volunteer experience.

The Healing Space Responsibility
  • Respond to inquiries, provide information about available services, and address guest concerns or questions.
  • Ensure guests are comfortable and have a positive experience during their visit.
  • Ensure that all equipment and supplies are in good working condition.
  • Support wellness practitioners by preparing the room, ensuring they have the necessary supplies, and assists with client intake processes.
  • Provide assistance during virtual and in-person group sessions as required.
  • Offer information about various healing modalities, therapies, and services provided at the healing place.
  • Collect and analyze customer feedback to assist with identifying areas for improvement and ensure high levels of customer satisfaction.
  • Collaborate with other staff members, wellness practitioners, and management to maintain a cohesive and positive work environment.

Patient and Family Support Services
  • Collaborates with Patient and Family Support Services team and Cancer Service Line (CSL) leadership to manage inventory of the Patient and Family Support Services Center patient resource materials.
  • Assists in maintenance of visible displays and inventory of patient resource materials in the Patient and Family Support Services Resource Center.
  • Assists with ensuring approved patient resource materials are prepared and distributed throughout VCU Massey.
  • Prepares and maintains inventory of VCU Massey New Patient Packets and Patient and Family Resource Guide.
  • Responds to patients, family members, caregivers, and clinical staff for resource materials as needed.
  • Assist with oversight of Patient and Family Support Services Center volunteers and assists on request with Farm Stand, RAMble, yoga, and other special projects.
  • Participates as appropriate with quality improvement and performance improvement initiatives.
  • Listens to and anticipates customer needs, provides clear explanations, responds quickly, takes initiative to assist internal and external customers.
EDUCATION & EXPERIENCE:
  • Bachelor's degree in Business Administration, Project Management, Healthcare Administration or other related field required.
  • Three years of effective work-related experience required.
  • Computer skills including MS Office products, Internet, and general computer proficiency required.
  • Excellent English skills (both verbal and written), organizational skills, time management, prioritizing tasks, detail-oriented and multi-tasking required.
