Description

The College Human Resources Administrative Assistant plays a vital role in supporting the Human Resources department of the college. This position involves providing administrative assistance to HR staff, maintaining employee records, assisting in recruitment and onboarding processes, and ensuring compliance with federal, state, and local laws, and college policies and regulations. The ideal candidate will possess strong organizational skills, attention to detail, and a commitment to maintaining confidentiality.
Qualifications

Graduation from an accredited institution with a high school or equivalent diploma; associate or bachelor's degree preferred. Previous administrative experience, preferably in a human resources or higher education setting.
Major Responsibilities/Duties

Key Roles & Responsibilities:1. Provide administrative support to the Human Resources department, including answering phones, responding to emails, and managing correspondence.2. Maintain accurate and up-to-date employee records, including personal information, employment history, and benefits enrollment.3. Assist in the recruitment process by posting job openings, reviewing applications, scheduling interviews, and conducting background checks.4. Prepare and distribute HR-related documents, such as offer letters, employment contracts, and orientation materials.5. Coordinate new employee orientation sessions and assist with onboarding procedures, including paperwork completion and benefits enrollment.6. Assist in managing employee benefits programs, including health insurance, retirement plans, and tuition reimbursement.7. Assist in organizing HR-related events and training sessions for college employees.8. Ensure compliance with federal, state, and local employment laws and regulations.9. Assist HR staff with special projects and initiatives as needed.

  • Human Resources Policies and Procedures: Understanding of HR principles, policies, and procedures related to recruitment, hiring, onboarding, training, benefits administration, and employee relations.
  • Employment Laws and Regulations: Familiarity with federal, state, and local employment laws such as Equal Employment Opportunity (EEO), Fair Labor Standards Act (FLSA), Americans with Disabilities Act (ADA), etc.
  • Administrative Procedures: Knowledge of general administrative tasks including data entry, record-keeping, filing, scheduling, and managing correspondence.
  • Confidentiality: Understanding of the importance of maintaining confidentiality when handling sensitive HR information.

Definition.

A part-time adjunct faculty member is employed at less than 75% time annually and teaches at least one credit hour or more.

A part-time staff member is employed at less that 75% time annually. The employment time is three continuous months at an average of 15 hours a week.

Student hourly employees are exempt from the part-time privileges of this policy.

Privileges.

Upon authorization by the hiring department, part-time employees as defined under this policy will be issued a Snow College Part-Time Staff/Faculty Identification Card at the time of hire. The card entitles the holder to all of the privileges associated with a Full-Time Staff/Faculty Identification Card including, but not necessarily limited to, general admission or discounted prices for athletic and cultural events; Snow College library card issuance; computer network, Web, and e-mail access; bookstore sponsored discounts; and other discounts associated with the ID card at either campus. Supervisors have the right to terminate the privileges at any time during the fiscal year.

Non-inherent Privileges.

Privileges of full-time employees such as, but not necessarily limited to, college parties or gatherings, professional development activities, office/computer/telephone access, current expense budgets may be provided to part-time employees only at department discretion.
