Gift Operations Manager


Job Details

The Gift Operations Manager carries primary responsibility for the accurate processing, receipting, and reporting of all gifts to the University. This position serves the Advancement division by providing insights into best practices, contributing to the build-out of a robust CRM, and working with front-line fundraisers to manage their donors giving. This is a full time (2080 annual hours) , non exempt staff position.

ESSENTIAL FUNCTIONS OF THE POSITION:

  1. Manage all aspects of gift-related operations including processing, receipting, reporting, documenting, and maintaining up-to-date knowledge of best practices.
  2. Receive and process gift donations of all methods (cash, check, wire transfer, stock, estate/planned etc.) in a timely and efficient manner, interfacing with matching gift companies, estate managers, and other stakeholders.
  3. Maintain accurate and organized documentation on various gift-related functions, including multi-year donor commitments, establishment of new funds, planned gifts, etc.
  4. Communicate with Advancement staff on crediting, coding, and adjusting gifts.
  5. Contribute to the continued development of the gift-management functions of the Advancement CRM Slate by Technolutions.
  6. Develop and maintain accurate gift operations policies and procedures, ensuring divisional compliance with all legal regulations.
  7. Build and distribute standard gift reports to internal and external stakeholders, including IRS compliant year-end giving statements, regular pledge reminders, and routine updates to campus departments and leaders.
  8. Work collaboratively with the Business Office to establish funds, provide in-depth reporting and documentation for annual audits, and ensure gift placement within proper budget accounts. Additionally, this position plays an important role in regular financial reconciliation processes.
  9. Provide giving-related support to university constituents via phone and written correspondence; interact with all stakeholders with a winsome and engaging attitude.
  10. Regularly create and update constituent records using information received from gift correspondence.
  11. As needed, train and supervise student worker(s) in their tasks related to gift operations.
  12. Other duties as assigned.

QUALIFICATIONS:

  • Bachelor s degree (or comparable work experience) in a field related to finance, accounting, bookkeeping or business process improvement.
  • Exceptional attention to detail and the ability to independently manage time-sensitive tasks with a high degree of accuracy.
  • Commitment to absolute confidentiality and respect for donor s intents.
  • Experience with accounting and/or database software, plus a willingness to learn and adapt to new technologies.
  • Highly organized, with excellent skills in problem-solving and interpersonal communications.
  • Capacity to synthesize and manage multiple complex tasks and projects simultaneously.
