The Executive Assistant (EA) will manage a wide range of confidential advanced administrative support-related activities for the CEO of Sojos Capital, Fabio De La Cruz. This is a newly created role within the organization and requires the ability to interact with executive leadership, work collaboratively in a fast-paced environment, remain flexible, proactive, resourceful, and efficient while performing a wide variety of administrative functions. Work is performed independently requiring ongoing and direct interaction with the CEO, business unit leaders, and external key contacts. Reporting to the Chief of Staff, this position requires a high level of professionalism and confidentiality.


Core Functions

The EA position is responsible for handling information of a confidential nature, with responsibilities that may include, but are not limited to:

  • Ensure the CEO s time is optimized by proactively anticipating the CEO s needs, providing high caliber executive support, and managing multiple calendars. Manages and updates the CEO s and family calendars; maintaining a minimum 4 week look ahead.
  • Managing the CEO s children s school activities, family travel, family recreational schedules.
  • Manage the CEO s email, maintaining constant review and providing the CEO with updates as required.
  • Plans, coordinates, and ensures the CEO s schedule is followed and respected. Provides gatekeeper and gateway role, creating win-win situations for direct access to the CEO s time and office.
  • Provides a bridge for smooth communication between the CEO s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management.
  • Works closely with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a barometer, with a sense of the current issues, keeping the CEO informed.
  • Composes and prepares professional correspondence, including letters and other communications for and on behalf of the CEO.
  • Attends meetings with the CEO as required, prepares timely meeting agendas, documents, and circulates meeting minutes to attendees, and manages action items and deliverables.
  • Arranges travel logistics for the CEO and family, including planning itineraries, booking flights, transportation and lodging as well as meeting/event planning.
  • Completes projects and special assignments in a timely manner by managing time and gaining the cooperation of others, problem solving and adjusting plans.
  • Performs errands required for the corporation and the CEO as required.
  • Assist with mailings, deliveries and pick-ups.
  • Provide secondary back-up coverage for other EA (PTO and other absences).
  • Other duties as assigned.


Qualifications & Competencies

Sojos Capital seeks an experienced Executive Assistant to join the organization; located in the Tampa Bay area.


Qualifications include:

  • Must be bilingual Spanish.
  • 8 or more years of executive assistant experience required, specifically supporting Executive Leadership Team Members.
  • Proficiency in MS Word, Excel and PowerPoint.
  • Demonstrated professionalism with the ability to maintain a high level of confidentiality required.
  • Self-starter with ability to set direction, prioritize and manage competing priorities.
  • Excellent verbal, written and listening communication skills with the ability to interact with executive and senior leadership as well as internal and external stakeholders required.
  • Exceptional organizational, problem-solving and customer service skills required.
  • Demonstrated ability to work well under pressure, meet deadlines and adapt quickly to changing business priorities.
  • Ability to work overtime as needed.
