Job Details

PURPOSE

The purpose of this position is to manage the general workflow of the Metals Processing Area, and ensure the efficient day to day running of the metals operation. Responsibilities include but are not limited to, serving as subject matter expert (SME) and as such overseeing training, assisting in projects as well as addressing any questions or concerns raised by counterparties or staff members as needed. This role includes serving counterparties and ensuring processing times are within the standards set, overseeing the preparation of precious metals scrap to the refiner, and entering those results once received. This key role is responsible to ensure that all work is in accordance to the policies and procedures as established by Kitco and to ensure to take action when policies and procedures are not being followed.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

The responsibilities of this position include, but are not limited to the following:

Adhere to all Kitco policies and procedures.

Comply with Kitco's customer service standards.

Escalate to team lead/supervisor as issues arise.

Act as a backup to all other tasks in Kitco Logistics as required.

ESSENTIAL FUNCTIONS AND TASKS

Responsible for ensuring processing turnaround times of all customers and packages, follow-up of packages, ensure melts are done in a timely manner and wait times and turn-around times are respected.

Act as liaison between Accounting and Refining for balancing issues.

Manage day to day workflow and assign tasks as needed.

Responsible for monitoring metals inventory, preparation of scrap shipments to the refinery and updating of refining results in the ERP.

Responsible for the daily/monthly physical inventory count.

Responsible for training of staff in all areas.

Ensure the accurate purity testing and verification (both bullion and scrap) of material when received on behalf of Kitco, according to Kitco protocol.

Assist in the preparation and packaging of bullion products for shipment to customers.

Responsible for ensuring every customer (both internal and external) inquiry or order is answered or completed the same day (or within 24 hrs.).

Ensure orders are correctly reflected in the ERP, client payment requests are fulfilled, and tracking information noted in the ERP.

Assess material for proposal of melt and assay, ensure proper forwarding of packages to Corporate Office for processing within department standards.

Enter lot results and settle by verifying customers agreement with scrap transaction settlement

Verify swap to pool for KLI.

Submit metals paperwork for preparation of customs clearing ensuring all paperwork is prepared correctly, prior to shipment.

Follow-up on all outstanding packages and tasks accordingly.

Responsible for End of Day material balancing by collection and verification of scrap codes and bullion products, ensuring all precious metals are stored in vault.

Assist in ensuring deposit of all incoming checks received on behalf of clients, verification and printing of all outgoing client checks.

Ensure the physical environment of the Processing Area is operable, clean, maintained and advise accordingly.

Keep Supervisor advised of any issues with all operational issues (Including but not limited to employee related issues).

Act as alternate contact for security system.

Assist with front office duties, answer incoming calls, and front door, sorting incoming mail and packages.

Assist with maintaining Endicia postage account.

Assist in maintaining office supplies, packaging materials, etc. and placing orders as needed.

Assist with customs clearing of all packages being cleared for transport.

Assisting with incoming and outgoing tradeshow materials.

Ensure proper documentation flow and communication between departments.

Maintain insurance guidelines for precious metals stored on-site.

Investigate and explain physical inventory discrepancies.

Respond to requests from the Supervisor accurately and professionally.

Participate actively in projects with Supervisor.

Receive and verify supplier products.

Ensure all procedural documentation is kept up to date.

Other duties as assigned.

TECHNICAL / PROFESSIONAL COMPETENCIES

High School diploma.

Strong Computer/Internet skills (Microsoft Office and Outlook).

Basic knowledge of SharePoint an asset.

At least 2 years' experience in a leadership role (or equivalent job experience).

External - Daily - Kitco customers both walk-in and telephone customers.

Internal - Daily - Sales, Accounting, H.R, and head office employees.

ANTICIPATED TRAVEL / SPECIAL WORKING CONDITIONS

Occasional travel required which may include international travel.

WORKING CONDITIONS

Work involves lifting of materials up to 50 pounds, standing for prolonged periods of time and working with acids. Processing requires the use of safety equipment to include but not limited to; eye safety glasses, protective aprons, latex gloves and steel toed shoes, provided by the company. It is the employee's responsibility to utilize the above equipment and advise management if replacements are needed.
