Job Details

General Definition of Work:

Performs intermediate skilled clerical and technical work requiring a qualified typist; provides secretarial services; prepares and maintains fiscal and related records; does related work as required. Work is performed under regular supervision.

Essential Functions/Typical Tasks:

Serving as primary secretarial support to the department supervisor and staff; serving as bookkeeper; serving as receptionist; preparing and maintaining a variety of files and records; assisting students and parents.

  • Receipts and deposits funds; disburses and pays bills; prepares purchase requisitions.
  • Processes all orders for supplies for administrative, teaching, clerical and custodial personnel; maintains accurate records and prepares bid reports.
  • Maintains cash receipts and disbursements records.
  • Composes and types letters, memos, reports, bulletins, requisitions, invoices, schedules and records.
  • Answers telephone, processes mail, meets the public and provides information.
  • Operates, coordinates and maintains stock for copiers and other general specialized office equipment including computer and word processor.
  • Coordinates and assists with processing accounts payable, purchasing, payroll, budgetary and other financial data; reconciles invoices with payment vouchers; performs calculations and posts to statistical and other records applying knowledge of regulations; maintains inventories and orders supplies.
  • Collects fees and monies, prepares and maintains necessary ledgers, logs, and reports.
  • Posts receipts and disbursements to proper accounts; prepares a variety of special and periodic finance reports.
  • Operates, coordinates and maintains copier and other general and specialized school office equipment.
  • Produces and submits annual audit report for analysis by an independent auditing firm.
  • Produces and submits monthly attendance report for all personnel to central office payroll department.
  • Performs a variety of office assistance tasks in the school office.
  • Performs related tasks as deemed necessary by the Principal.

Knowledge, Skills and Abilities:

Thorough knowledge of departmental routine, banking procedures, payroll and personnel procedures and financial record keeping; thorough knowledge of bookkeeping terminology, methods and procedures; thorough knowledge of standard office practices, procedures and equipment; general knowledge of business English, spelling and arithmetic; ability to develop and follow detailed work procedures; ability to type accurately and operate general school office equipment; ability to meet the public effectively; ability to establish and maintain effective working relationships with other employees and the general public.

Education and Experience:

Any combination of education and experience equivalent to graduation from high school supplemented by courses in business, typing and bookkeeping and some experience in clerical and/or accounting work.

Physical Requirements:

This is sedentary work requiring the exertion of up to 10 pounds of force occasionally, and a negligible amount of force frequently or constantly to move objects, and some light work requiring the exertion of up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and a negligible amount of force constantly to move objects; work requires climbing, stooping, kneeling, crouching, reaching, pushing, pulling, lifting, fingering, grasping, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.
