IT Purchasing Specialist


Job Details

PRIMARY FUNCTION :

This individual will manage all aspects of the purchasing cycle of hardware, software, and other services for clients of the IS&T Business Affairs and Portfolio Management group. Included in these responsibilities are management oversight of full-time and temporary purchasing agents; user facing responsibilities such as product advice, consulting, and purchasing-related communications and follow-through; the management of vendor price and service negotiations, contracts, and license agreements.

CORE FUNCTIONS AND COMPETENCIES:

Key responsibilities include but are not limited to:

  • Respond to all customer inquires regarding the procurement (purchase/lease) of new desktop/server equipment, such as PC's, printers, scanners, desktop peripherals, etc.;
  • Process customer requests for equipment purchase, and ensure customers have followed the necessary processes for equipment purchase approval;
  • Maintain and track customer order information in the tracking database;
  • Order customer equipment from various vendors and keep inventory team aware of orders in process;
  • Maintain proper paper and electronic records of all orders and returns;
  • Work with vendors to ensure current customized Jefferson websites reflect the standard hardware and software items for client purchases;
  • Make management aware of any serious vendor problems relating to the ordering and functioning of hardware and software;
  • Coordinate with the project manager to improve and troubleshoot the client ordering and project completion process. Recommend improvement to management as needed;
  • Coordinate with the business manager of Jeff-IT for billing related issues;
  • Manage escalations and facilitate resolving service delivery and support issues;
  • Interact with and maintain positive work relations with TJU/IS organization and staff.
  • Provide other duties as requested.


Qualifications

EDUCATIONAL/TRAINING REQUIREMENTS :

High school diploma is required. Undergraduate degree is desired but not required. Dell/Apple hardware certifications a benefit.

EXPERIENCE REQUIREMENTS:

At least three years experience in a retail/on-campus store, with focus on the administrative processes of such a facility, as well as a strong customer service focus is required. Familiarity with desktop operating systems, applications, and hardware is required, particularly with Dell and Apple equipment. Ability to work independently, and answer client questions/make recommendations regarding their hardware and software needs. This individual must have outstanding organizational skills, and be able to maintain a complex procurement and tracking process. Background in desktop support is a plus.
