The mission of Behavioral Treatment Services is to provide provide accessible, integrated, and inclusive behavioral health services supporting clients throughout the criminal justice system. Behavioral Treatment Services provides a continuum of specialized adult offender substance abuse and other treatment modalities. Being a part of the BTS team means being a part of the forefront of Colorado's behavioral health and criminal justice programs and initiatives. Our goals are to provide a space toward client healing, reduce criminal recidivism, assist clients in working towards personal growth, and collaborate with the system and client to work towards mutually agreeable goals.

BTS provides clinical services, court related services, and specialized programs for adults involved in the criminal justice system. BTS provides services at community corrections sites (including residential treatment programs), outpatient locations, jail based, and court liaison programs in 9 counties across Colorado.

Office Coordinator Summary: Under general supervision, coordinates client care, financial processing, recordkeeping, compliance and operations of BTS to achieve program goals. Supports the Director as needed for the benefit of the program.

Location: Boulder and Golden
Hours: Full Time M-F
Salary: $20/hr

Essential Duties and Responsibilities:
  • Support, promote and adhere to the mission, values and Code of Conduct of BTS and Intervention Inc.
  • Reflect BTS and Intervention Inc.'s commitment to treating all persons with dignity and respect.
  • Maintain confidentiality of client and company information.
  • Carry out all duties/responsibilities in accordance with Company values, policies and procedures, applicable laws and contractual obligations.
  • Processes payments for services accurately and timely, including but not limited to generating invoices, accepting payment, recording and tracking payments, and depositing.
  • Follows-up with payors and clients on outstanding balances
  • Initial point of contact for billing processing and issues
  • Processes and submits supply orders for sites across the company
  • Coordinates BTS' Accounts Payable, including preparing and processing required checks, including JBBS, timely and correctly.
  • Ensures accurate, timely and complete office and client files are maintained and secured according to Health Insurance Portability and Accountability Act of 1996 (HIPAA), the Joint Commission on Accreditation of Healthcare Organizations (JACHO) regulations, licensing, accreditation, state or federal standards and other appropriate regulatory requirements.
  • Completes administrative tasks such as daily processing of mail, forwarding or replying to emails and voicemails, processing invoices, maintaining calendars, scheduling meetings, and ensuring supplies are stocked.
  • Drafts communications for signature and documents for review. Sends out routine correspondence.
  • Creates and provides a welcoming environment for visitors/clients both on the phone and in person.
  • Politely and professionally answers phone and provides basic screening of all calls, records or transfers as appropriate, schedules appointments.
  • Collects client information, enters information into electronic database and creates and maintains client files accurately, completely and timely.
  • Reviews billing, insurance, and clinic policy information with client.
  • Maintains accurate and timely program statistical data to meet reporting requirements. Enters data and generates reports.
  • Assists with bank reconciliations and makes bank deposits
  • Processes grant billing and reporting
  • Enters data accurately and timely into accounting software and payroll systems
  • Completes filing and other clerical duties as required
  • Drives to various offices as required
  • Uses creativity and innovation in program development and service delivery.
  • Regular and predictable attendance.
  • Coordinates maintenance of office equipment and ensures all in working order, troubleshoots problems and relays problems to appropriate person for resolution
  • Assists with tracking training of BTS employees
  • Develops and maintains a resource database and files containing information about programs and services available in the community
  • Good steward of Agency human, financial and capital resources
  • Participates effectively as a team member through communication, cooperation, information sharing and problem solving.
  • Participates in staff trainings and programs as required.
  • Any other tasks or duties as assigned.

Minimum Qualifications:
  • Two years related experience and/or training in an office environment with some experience in basic accounting and/or insurance billing.
  • High school diploma or equivalent required.

Preferred Qualifications:
  • Medical Billing/Coding program education or Associate degree (A.A) from accredited college preferred.
  • Familiarity with principles and practices related to medical or mental health clinic planning, records management and general administration
  • Excellent interpersonal communication and customer service skills
  • Ability to use word processing, spreadsheet software, financial software and databases to input information, maintain client and program data, create documents and communications, and generate reports
  • Excellent interpersonal communication skills, especially with people experiencing crisis
  • Ability to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, copiers and fax machines
  • Knowledge of the service population's cultural and socioeconomic characteristics and the appropriate techniques and practices for the client population.
  • Ability to interact effectively as a team member and independently with staff and with a diverse client base
