Executive Assistant to the C-Level Executive Team

You will join the Executive Assistant team supporting and ensuring the executive C-Suite, which includes the Co-Chief Executive Officers, the Chief Financial Officer and our General Counsel. You will help assist the senior team of one of the nation's fastest-growing, highest-performing publicly traded real estate companies.

As the Executive Assistant, you will help ensure the smooth functioning of the executive office and the efficient coordination of internal and external initiatives. You will provide administrative and organizational assistance and technical or creative support associated with the creation or refinement of presentations in PowerPoint, InDesign or related software, the organization of data in Excel or related software and contact management in Salesforce or similar CRM software platform. You will report to our C-Suite and work collaboratively within the Executive Assistant team.

About The Role

  • Manage the executives' calendars, scheduling appointments, meetings, and conference calls.
  • Prepare meeting agendas, arrange meeting venues, and ensure all necessary materials and equipment are available. Take meeting minutes and follow up on action items to ensure completion.
  • Help with travel itineraries, including flights, accommodations, ground transportation, and any other necessary logistics for the executive team's business trips.
  • Serve as the face of the C-Suite and for the company both inward within the company and externally;
  • Handle certain incoming and external communications and prioritize for the executives' attention, providing review or drafting.
  • Maintain the highest level of professionalism in all matters related to the executive team and the company.
  • Help track and reconcile expense reports for the executive team.
  • Maintain an executive office, including filing systems, office supplies and equipment. Ensure a tidy and professional environment.
  • Provide project support which may include coordination of partners, tracking of deliverables, creation or enhancement of presentations, data management, among other initiatives.
  • Collaborate with other departments and team members to gather information, facilitate communication and ensure seamless coordination.
  • Assist with event execution.
  • Help with administrative tasks, including greeting visitors and directing phone calls to team members when needed.

About You
  • Bachelor's degree required.
  • 5 to 7+ years or more of experience as an executive assistant or similar role, supporting C-level executives in a dynamic, fast-paced, growth-oriented business environment.
  • Excellent proficiency using Outlook, PowerPoint, InDesign, Excel, Salesforce or similar CRM software.

Rexford Industrial's total reward plan includes a premier benefits package, bonus eligibility and long-term stock incentives. The expected annual base salary range for this role is $96,000 to $144,000, with a 10% discretionary annual bonus target and stock grant eligibility.

The actual base salary and total compensation offered depend on a variety of factors, which include, without limitation, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location where the job will be performed. The final base salary and total compensation will be described in any offer letter.
