Calling all art & history buffs with EA experience! A museum in downtown Chicago is seeking a dynamic, resourceful and experienced Executive Assistant to be the heartbeat of Leadership operations. As the Executive Assistant, you'll be the right-hand resource to our Leadership, ensuring smooth sailing during artistic brainstorms and historical adventures.
The ideal candidate will have worked closely with an Executive for at least 3 years. This job entails coordinating strategic calendar management & travel arrangements, managing communications and assisting in coordinating events & meetings. Our team enjoys collaborating in the office daily, therefore this role will be in the office Monday-Friday, 9-5pm. This is a fast paced and exciting opportunity that will allow you to immerse yourself in the world of art & history alongside other passionate individuals & leaders.
*Any type work experience in a museum or similar setting is highly preferred. (Art gallery, symphony, historical site). Must have EA experience as well.
Outline of RESPONSIBILITIES:
- Serve as key point person for the Executive Director including calendar support, prioritizing inquiries and requests, meeting coordination and ensuring the Director is prepared to execute museum business
- Manage complex travel & calendar logistics
- Serve as point of contact for trustees, support board meetings & communications and maintain committee & board rosters
- Assist with event management & meetings by coordinating staff, invites, vendors and contracts
- Represent the office of the Executive Director when off-site and serve as liaison for museum partners both internally and externally
- Provide executive administrative duties on behalf of Director of Development and Director of Marketing/Communications
- Other duties & special projects as assigned by the Executive Director
QUALIFICATIONS:
- Minimum of 3-5+ years Executive Assistant experience supporting an Executive with calendar and travel coordination
- Bachelor s degree in museum studies, business administration or commensurate experience in a related field
- Prior museum/gallery/historical site industry experience highly preferred
- Knowledge of MS Office Suite, including MS Outlook, Word, Excel, PowerPoint
- Ability to work collaboratively with executive leadership and the broader museum teams
- High level of problem-solving skills with the ability to multi-task
- Exhibit excellent written and verbal skills
- On-site M-F, 9-5pm
COMPENSATION:
Base salary 75-90k based on experience, comprehensive benefit plan, 401k w/ match and great working enviroment.
