Position Overview:

We are seeking a Senior Coordinator to provide administrative and project support to our Chief Operating Officer (COO) and General Counsel (GC). The Senior Coordinator is responsible for calendar management, coordinating travel schedules, and project support for both the COO and GC. Additionally, the Senior Coordinator will support the COO and the Executive Committee in preparing and consolidating materials for critical internal meetings and coordinating workflow for confidential work streams.


The position is based in Boston and offers a hybrid work schedule as determined by the needs of the COO and GC. The individual should have flexibility for in-office and offsite support as well as weekend support, as needed.


Responsibilities include:

  • Plan, coordinate, and ensure that the COO/GC s schedules are efficiently constructed to support key priorities and goals. Serve as a gatekeeper for calendar access and proactively adjust schedules as needed for time-sensitive and priority issues.
  • Ensure the COO and GC are well-informed of upcoming commitments and assist in preparing for meetings by providing relevant information in advance.
  • Support the COO and Executive Committee to consolidate, edit, and distribute materials in connection with key internal meetings, including agendas and supporting documents (e.g., PowerPoint presentations, memos, spreadsheets, etc.)
  • Support the COO and Executive Committee in drafting and managing the preparation of materials for our global annual offsite gatherings.
  • Support the COO and Executive Committee in the coordination of sensitive firmwide activities, including the compensation process.
  • Assist the GC as he provides legal support across the corporate entity, funds, transactions, and the portfolio.
  • Maintain the highest level of confidentiality for all documentation and information processed; especially as it relates to sensitive employee and attorney client privileged matters.
  • Represent the firm in a highly professional manner. Liaise with internal and external stakeholders on behalf of the COO and GC.
  • Coordinate all travel arrangements. Understand travel preferences and provide itineraries.
  • Manage expenses by collecting receipts and creating expense reports in the Concur system.
  • Off-hours assistance and ad hoc projects as needed.


Qualifications:

  • Must have at least 5 years of experience in an administrative function, preferably supporting an executive.
  • Financial services industry experience is a plus, but not required. Professional services experience preferred.
  • Exceptional interpersonal skills with the ability to interact with all levels across the firm.
  • Impeccable project management and organizational skills with high attention to detail.
  • Advanced competency in Microsoft Office (Word, Excel, PowerPoint, Outlook), experience with Concur a plus.
  • Comfortable editing and creating Word, Excel and PowerPoint documents based on directions and feedback from executives.
  • Ability to proactively identify and assess problems/issues, think critically, and use sound judgment to develop solutions.
  • Excellent verbal and written communication skills with the ability to communicate clearly and efficiently.
  • Ability to prioritize, multitask and work with frequent interruptions and/or shifts in priorities in a dynamic, deadline-driven environment.
  • Must exhibit a high degree of confidentiality with the ability to handle situations with tact and diplomacy.
  • Team player who can work effectively with a wide range of people and levels in order to deliver business results.
  • Demonstrate a high degree of initiative, commitment, and drive.
