Stradley Ronon Stevens & Young, LLP is currently seeking a highly organized and detail-oriented Legal Administrative Assistant to support the attorneys within our dynamic investment management practice group. The position is a hybrid role that will be based in our Philadelphia, PA office. The ideal candidate will possess excellent administrative skills, the ability to manage multiple and sometimes competing filing deadlines, and the ability to thrive in a fast-paced environment. This role offers the opportunity to work closely with experienced attorneys and contribute to the success of our investment management team.


Responsibilities:

  • Provide comprehensive administrative support to partners and associates within the investment management practice group, including managing calendars, scheduling appointments, and coordinating meetings.
  • Prepare and format legal documents, including pleadings, motions, briefs, and correspondence, adhering to established formatting and style guidelines.
  • Assist in organizing and maintaining electronic and physical filing systems, ensuring all documents are properly labeled, indexed, and stored.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail, promptly and professionally.
  • Assist attorneys in organizing and maintaining case files, including gathering, organizing, and summarizing relevant documents and evidence.
  • Monitor and track case deadlines, ensuring all filings, hearings, and other obligations are met in a timely manner.
  • Serve as a point of contact for clients, providing exceptional customer service and responding to inquiries and requests in a timely and professional manner.
  • Assist in drafting engagement letters, fee agreements, and other client-related documents, ensuring accuracy and completeness.
  • Coordinate client meetings, including scheduling, preparing meeting materials, and arranging conference rooms or virtual meeting spaces.


Qualifications:

  • Bachelor's degree or equivalent experience preferred.
  • At least five (5) years of experience as a legal administrative assistant or in a similar role within a law firm or legal department.
  • Strong proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and legal software applications; experience with iManage preferred.
  • Familiar with Diligent and/or Boardvantage.
  • Excellent organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Exceptional attention to detail and accuracy, particularly in proofreading and document formatting.
  • Excellent communication skills, both written and verbal, with a professional and courteous demeanor.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility to adapt to changing priorities and work effectively under pressure.
  • Regular hours are typically Monday through Friday; occasional overtime may be required during periods of high caseload or tight deadlines.
  • May require occasional travel for court appearances, client meetings, or other business-related purposes.
