Our client at LHH is looking for a Legal Secretary to join their growing team!


Responsibilities:


  1. Administrative Support: Provide administrative assistance to attorneys by managing calendars, scheduling appointments, organizing meetings, and coordinating travel arrangements.
  2. Document Preparation: Assist in the drafting, formatting, and proofreading of legal documents, including contracts, agreements, leases, deeds, and correspondence.
  3. Client Communication: Serve as a primary point of contact for clients, responding to inquiries, relaying messages, and ensuring effective communication between clients and attorneys.
  4. File Management: Maintain organized electronic and physical filing systems for case documents, correspondence, and client records, ensuring efficient retrieval and storage of information.
  5. Research: Conduct legal research on real estate laws, regulations, and precedents using online databases and resources to support attorneys in case preparation and strategy.
  6. Billing and Accounting: Assist with timekeeping, billing, and invoicing tasks, including preparing and reviewing client invoices, tracking billable hours, and managing accounts receivable.
  7. Court Filings: Prepare and file legal documents with courts, government agencies, and other relevant entities, ensuring compliance with procedural requirements and deadlines.
  8. Office Management: Perform general office tasks such as answering phones, greeting visitors, ordering supplies, and maintaining office equipment to support overall office efficiency.
  9. Confidentiality: Maintain strict confidentiality of sensitive information and client matters in accordance with ethical and legal standards.
  10. Ad Hoc Tasks: Handle additional administrative and clerical tasks as assigned by attorneys or firm management to support overall operations.


Qualifications:

  • Previous experience as a legal secretary or administrative assistant in a real estate law firm or related field preferred.
  • Proficiency in legal terminology, document preparation, and case management software (e.g., Microsoft Office Suite, Legal Solutions).
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Excellent communication skills, both written and verbal, with a professional demeanor in client interactions.
  • Attention to detail and accuracy in document preparation, proofreading, and data entry.
  • Ability to work independently with minimal supervision and as part of a collaborative team.
  • Familiarity with legal research methods and online databases preferred.
  • Bachelor's degree or relevant certification in legal studies, business administration, or a related field preferred.
