Description

We are seeking a dedicated Administrative Assistant to join our Facilities team and assist in ensuring the smooth operation of our facilities. The successful candidate will provide administrative support to the facilities management team, helping to coordinate various tasks related to facility maintenance, operations, and safety protocols. This role requires strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.

This is a full-time in person position (40 hrs./week). Full-time staff are eligible for our excellent benefits package including health/vision/dental, paid vacation and holidays, 403(b) retirement plan with employer match and other benefits.

Responsibilities:

  • Manage utility databases and spreadsheets on a monthly basis
  • Prepare invoicing for electrical usage and common charges for external client
  • Assist in organizing time sheets, vacation requests, time off and timecard changes for the facilities department in Paycom
  • Process corporate credit cards and expense reimbursements
  • Coordinate material and vendor invoicing
  • Input data and run reports in the facilities Department Computerized Maintenance Management System (CMMS)
  • Maintain Facilities Operations and Maintenance (O&M) manuals and building drawings
  • Prepare new hire, termination and employee change personnel action forms (PAFs)
  • Complete administrative tasks for department, which may include reserving rooms, reimbursements, timesheets, ordering material etc.
  • Serve as a point of contact for internal stakeholders and external vendors regarding facility related inquiries, requests and issues
  • Responsible for creating and installing building signage
  • Perform other duties as assigned


Required knowledge, skills, and abilities:
  • Proven ability to follow direction and perform tasks in an efficient and quality manner
  • Strong work ethic and reliability is essential
  • Good communication skills, both verbal and written
  • Strong attention to detail and problem-solving abilities
  • Must possess the ability to independently manage daily task load, and accurately track and report on job status
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with facility management software is a plus
  • Ability to communicate with a diverse group of end users
  • Well-organized, with ability to schedule tasks and timelines appropriately

Qualifications

Qualifications:
  • High school diploma or GED
  • Previous experience in administrative support roles, preferably in facilities management or similar environment
