POSITION OVERVIEW


We are seeking an Office Administrative Assistant who will play an integral role in ensuring the smooth functioning of our office. This position involves a wide range of administrative and office support activities at the corporate headquarters as well as providing administrative support for every department across the entire company. Qualified candidates will have impeccable verbal and written communication skills, a strong ability to multi-task, and an outgoing and friendly demeanor.



PRIMARY RESPONSIBILITIES


Serve as the first point of contact for the office, managing reception duties including answering phone calls, greeting visitors, and handling inquiries in a professional manner.

Clerical duties including filing, responding to emails, preparing documents, coordinating incoming and outgoing mail and faxes, and shipping packages.

Office facilities administration and maintenance; liaison with landlord property manager.

Assist the Accounting team with monthly billing to clients, sending statements, and maintaining current contact information using QuickBooks and Excel.

Maintain office and kitchen supplies and place orders as needed.

Coordinate weekly lunches and company meetings.

Assign and maintain employee training records using Paylocity.

Contribute to a positive and motivational culture by coordinating birthday, anniversary, and holiday celebrations and planning company events.

Assist the Company General Counsel by organizing and tracking any malpractice insurance cases by maintaining the required files, documents, and written summaries pertaining to the case; prepare and send related internal and external communications as needed.

Respond to medical record requests and coordinate with staff as needed.

Assist HR with employee onboarding and offboarding as well as key/card assignments.

Update Employee Handbook and other company-wide documents.

Regularly review office procedures and implement changes as needed.

Other projects and duties as assigned.


JOB REQUIREMENTS AND SKILLS


Excellent written and verbal communication skills with both external clients and vendors as well as internal company executives, department managers, and staff.

Ability to multi-task, prioritize projects, and demonstrate initiative.

Extreme attention to detail and organizational skills.

Strong analytical skills and solid accuracy.

Able to perform tasks and responsibilities independently with a mindset of constant improvement.

Must be very reliable, taking pride in maintaining a clean, organized, and enjoyable working environment throughout the corporate office.


EDUCATION AND EXPERIENCE


Bachelor s degree preferred.

Prior experience using and managing office equipment, including phone, fax, copier, scanner, printer, etc.; computer savvy.

Advanced practical usage Word, Adobe, and Outlook.

Intermediate proficiency using Excel and PowerPoint.

Familiarity with QuickBooks and/or Paylocity a plus.


WORK LOCATION AND CONDITIONS


Corporate office in San Diego.

Job Type: Full-time; Non-Exempt.

Mileage reimbursed for any local errands.

Minimal overtime, as needed.


REQUIRED TRAININGS


Internal Regulatory and Quality System training required for G&A classification.

Hourly Pay Range: $20.00 - $24.00

The stated pay scale has been implemented to reward employees fairly and competitively, as well as to support recognition of employees career progress, ranging from entry level to experts in their field, and talent mobility. It reflects the range that StatRad reasonably expects to pay for this position at various levels of experience. The actual pay rate for this position will be dependent on a variety of factors, including an applicant s relevant experience, unique skills and abilities, education, market demand, and employer business practices, and will be discussed at the offer stage with the selected candidate. The starting hourly pay is targeted at $21.00 - $22.00 per hour.
