Associate Administrative Assistant
Setting: Onsite
Location: Peabody, MA
Duration: 1 month (temporary)
Schedule: Mon-Fri 8am - 5pm EST
Summary:
- The Receptionist will be responsible for answering, directing, and providing timely, courteous, and professional telephone support for all inbound phone calls.
- This person will greet all visitors as they enter the building and ensure the professional appearance of the main lobby is maintained.
- The Receptionist will perform administrative duties as assigned.
Description of major duties:
- Answer all incoming calls professionally and courteously.
- Greet all customers, vendors, and/or guests professionally and courteously.
- Ask visitors for picture ID and give contractors safety brochures (if first time in bldg.)
- Maintain the professional appearance of the main lobby and reception area.
- Direct incoming customer sales calls to the appropriate backup associate when necessary.
- Ensure all customers, vendors, and/or guests sign in upon entry and have a badge assigned to them.
- Ensure that they sign out and return the badge upon exiting.
- Sort the daily incoming mail. (mail distribution handled by facilities)
- Responsible for updating the telephone directory on a monthly basis.
- Order office supplies as necessary.
- Print badges and nameplates as needed to back up Facilities (Currently, Facilities handles this)
- Perform miscellaneous duties as requested.
- Manage the building conference room calendars.
- COD check process for FedEx and UPS
- Accounts receivables processing
- Office supply ordering
- Support EAs with catering needs.
- Some file and record management
- Printing, copying, faxing
- Some office email communications
- FedEx/UPS support to staff
- General go to for everyone in the office.
Qualifications:
- High School Diploma or equivalent.
- A minimum of one year of switchboard, receptionist, and administrative experience is required.
- Must be able to work well under pressure and always maintain professional, courteous, and calm behavior.
- Excellent oral communication skills are required.
- Proficiency with Microsoft Office programs is required.
- Reliability & punctuality is a must.
