Position Summary

Staff assistants perform employee support roles and ensure the effective running of workplaces. They fulfill administrative functions such as scheduling meetings, retrieving company data, drafting documents, and answering staff queries. They also plan work travel and itineraries, conferences, and events, and help with various office-related tasks.

Reportable Objectives

The essential functions include, but are not limited to the following:

  • Starting pay range $36-40k
  • Greeting and directing visitors, answering questions, and responding to complaints and requests.
  • Scheduling appointments, meetings, and events.
  • Assisting in the preparation of documents and reports, such as printing plans, etc.
  • Call 811 Dig for various states, and track completion.
  • Pulling Permits and making other job-related transactions.
  • Updating, maintaining, and organizing various records.
  • Assisting with builder scheduling and maintaining accurate dating utilizing their portals.
  • Planning out work-related calendars and schedules.
  • Ordering and distributing office supplies.
  • Checking and managing office inventory supplies.
  • Performing basic office tasks, such as data entry, answering phones, taking messages, sorting mail, maintaining, and updating filing, and operating office machines.
  • Maintaining positive relationships with vendors, clients, and coworkers.
  • Other tasks as requested by the CSM and Owners.

Minimum Qualifications

  • Must have exceptional organizational skills, attention to detail, and ability to manage multiple tasks simultaneously will be critical to your success in this role.
  • You will collaborate closely with project managers, contractors, and various stakeholders to facilitate effective project coordination, documentation, and administrative support.
  • Must be able to utilize computer mapping programs and access various websites to pinpoint dig sites with precision.
  • Must be able to work with constant interruption.
  • Proficiency in MS Office and other office management programs.
  • Proactive attitude and problem-solving abilities.
  • Excellent telephonic and email communication skills.
  • Familiarity with office equipment including printers, photocopiers, shredders, and consumables.
  • Knowledge of office processes such as document handling, drafting communications, and filing.
  • Capacity to work independently and as a team player.
  • Strong verbal and interpersonal skills.
  • A high school diploma.
