Job Title: Executive Assistant, OCEO

Shift: 8:00 a.m. 4:00 p.m. (Hybrid- minimum four days in office)

Location: Chicago- Loop

Your Responsibilities:

  • Provide administrative and clerical support as directed by Office of the CEO ( OCEO ) executives.
  • Assist management with schedule management in Outlook and handling calls from both internal and external sources.
  • Coordinate onsite and off-site event and hotel arrangements and facilitate meeting coordination.
  • Schedule travel, process expense reports in Concur, and maintain the attendance calendar.
  • Generate correspondence for OCEO executives, including word processing/typing of letters, memos, forms, and preparation of agendas, labels, table tents, and meeting summaries.
  • Greet visitors by phone or in person with exceptional customer service, ensuring a positive first impression while offering appropriate directions.
  • Complete complex copier and binding projects.
  • Manage incoming mail and office supply inventory.


Your Qualifications:

  • Minimum of four years administrative experience, with prior support of VP-level and C-Suite executives.
  • Exceptional customer service skills, maintaining a professional and friendly disposition.
  • Ability to multitask with strong time management skills, ensuring timely completion of tasks.
  • Tech-savvy with proficiency in Outlook, Excel, Word, PowerPoint, and Concur/travel and expense portals.
  • Trustworthy and capable of handling sensitive information and situations discreetly.
  • Experience with onsite and off-site event planning and meeting management.
  • Strong organizational skills with the ability to prioritize workload, ensuring accuracy, attention to detail, and consistency.
  • Flexibility in setting priorities and responding to daily workload changes.
  • Self-starter who works independently with minimal supervision, demonstrating initiative for additional projects.
  • Excellent written and oral communication skills, with the ability to interact effectively across all organizational levels.
  • Proficient in communication across multiple platforms.
  • Ability to present information effectively and professionally to management.
