Maintenance Shop Clerk
The Maintenance Parts Inventory Clerk is responsible for managing and maintaining the inventory of parts and supplies essential for the upkeep and repair of machinery, equipment, and facilities. They ensure that adequate stock levels are maintained to support ongoing maintenance activities while minimizing excess inventory and controlling costs.
Preventative Maintenance and Reporting
- Maintain DVIR's and enter daily mileage and fuel.
- Gather, input, retrieve and maintain maintenance information in both computer and manual systems.
- Prepare summary reports on transportation and maintenance costs.
- Develop and issue computer reports as requested.
- Prepare monthly kits for all PM's.
- Prepare and post PM schedule for the month
Inventory and Parts
- Order and stock parts and supplies as directed and maintain the parts room.
- Research availability and source of purchase for emergency and critical spare parts and repair parts as needed.
- Compile information such as identification of items, cost, vendor, freight charges, for purchasing of all maintenance materials as needed.
- Prepare all purchase requisitions, coordinate, and expedite approvals as required, maintain all budgetary records, and provide follow-up action with accounting, buyers, vendors, requestors and receiving.
- Create and maintain PO's for shop purchases and be the main point of contact for invoice and PO questions from AP to support the shop
- Run's parts for shop mechanics and inventory refill
Record and File Management
- Utilize parts management software (FleetMate), Excel, and other MS Office programs.
- Demonstrates the knowledge and effective use of software applications. These systems should include MS Word and Excel
- Maintain all files and inventory records of all orders placed and received, including delivery time schedules.
- Provide general clerical work to assure the smooth operation of the Maintenance Department.
- Safety Data Sheet - (SDS) assists with the maintenance of the SDS book.
