Facilities Office Assistant - Building Operations - Part-Time


Job Details

The Facilities Office Assistant is responsible for performing clerical duties and answering the telephone. Assist the director of facilities management with weekly WO, PM's reports, and Monthly KPI reports. Monitors the computerized maintenance system which can include generating work orders, compiling work status, equipment and asset tracking, utility accounting and environment of care statistics. Maintain Joint Commission files for Facilities up to date and help the Maintenance manager with life safety files for Joint Commission. Assist all managers of Facilities management with meetings, reports and requests. Performs the duties of buyer when needed and order supplies for the office.

Requirements:

  • High School Diploma or equivalent is required
  • Enrollment in a business-focused higher education program is preferred
  • A minimum of two years of business/operations-focused experience is required
  • Competency in basic computer operations along with word processing ability is preferred


Responsibilities:

  • Answers telephone promptly and courteously and forwards calls as necessary.
  • Maintains files monthly on hours worked reports, hard copies of work orders, and other documents in an organized and timely manner.
  • Orders office supplies, forms, etc. for department.
  • Reviews miscellaneous work orders and selects those for which a work history must be maintained; inputs relevant data into computer.
  • Issues monthly Preventative Maintenance work orders to Biomed and Maintenance personnel and updates these in compliance within established time frame (3 working days)
  • Processes quarterly History of Repair reports for other departments; and past due and other reports from preventative maintenance program according to established schedules.

Part-Time

Monday - Friday

7:00 AM - 3:00 PM

Pay Range:

Hourly/Non-Exempt

$14.00 - $21.00
