Compensation and Benefits
  • Base Salary: $55,000-$75,000 based on experience

Overview
We are seeking an Administrative Associate interested in working for a growing and dynamic firm. This is a unique position located in our corporate office that helps with the management of our national portfolios from a distance. This is a great role for a seasoned property or assistant property manager looking to grow within asset management and the real estate industry.

About you:
  • Seasoned (3-5years) multi-family property manager or real estate administration; strong administrative experience is a plus
  • Strong operational mind: ability to create, implement, and maintain processes for all facets of property management: collections, leasing, maintenance, and property reporting
  • Excellent communicator; able to collaborate with colleagues professionally and compassionately, direct reports, vendors, and residents
  • Proficient in Microsoft Office products, including Excel, Word, and Outlook
  • Familiarity with Yardi Voyager and RentCafe a major plus
Core Responsibilities:
Included but not limited to:
  1. Building Management:
    • Clear Investment Group manages the 23-floor commercial building our office is located in
    • First point of contact for tenants or guests visiting the office; direct calls, tenants and visiting guest to the correct associate
    • Receive and distribute packages/mail delivered to office
    • Assist in answering tenant questions, managing the delegation of work orders, coordinate move in and move out and oversee building operations
    • Monitor the collection of rents and follow up with tenants who are delinquent on payments
  2. Administrative Support:
    • Assist with day-to-day support of property management across all portfolios
    • Work on specific projects as needed by Asset Management, Regional and Area Managers
  3. Financial Analysis and Reporting:
    • Aid in the preparation of financial reports, budgeting, and forecasting for real estate assets.
    • Collaborate with the Director of Asset Management and Regional Managers to analyze financial data and identify areas for improvement or optimization.
  4. Communication and Coordination:
    • Help to cascade any procedure or process changes within management to all property management teams.
    • Coordinate with various departments, including property management and finance, to facilitate seamless operations.
    • Help in training and onboarding new properties and management teams as well as additions and replacements to existing teams.
  5. Asset Documentation and Compliance:
    • Assist in maintaining accurate and up-to-date documentation for each real estate asset.
    • Monitor compliance with legal and regulatory requirements, working closely with the legal team if necessary.
  6. Tenant Relations:
    • Support in managing tenant relations, addressing inquiries, and coordinating with property management teams to resolve issues.
    • Facilitate communication between tenants and relevant departments.
    • Help to troubleshoot individual issues on the property level as needed.
