Financial Services Organization headquartered in Miramar, Florida is seeking enthusiastic, self-motivated, In-office Executive Sales Assistant to join their Operations Support and Sales team. The Executive Sales Assistant provides comprehensive administrative and sales support to the COO and the sales team, facilitating the achievement of sales targets and organizational goals. This role involves managing administrative tasks, coordinating communication, and assisting in sales-related activities to ensure smooth operations within the sales department. The successful candidate will be a proactive and detail-oriented professional capable of managing a wide range of tasks.


Key Responsibilities:


Administrative Support:

  • Manage calendars, appointments, and travel arrangements for the COO and sales executives.
  • Prepare and organize sales documents, presentations, and reports.
  • Maintain accurate records of sales activities, expenses, and client interactions.
  • Handle incoming inquiries and correspondence, directing them to the appropriate personnel.
  • Coordinate meetings, conferences, and events related to sales initiatives.

Communication Coordination:

  • Serve as a primary point of contact for internal and external stakeholders, including clients, partners, and team members.
  • Facilitate communication between the sales team and other departments within the organization.
  • Draft and distribute internal and external communications, including emails, memos, and announcements.
  • Ensure timely responses to inquiries and requests, demonstrating professionalism and attention to detail.

Sales Support:

  • Assist in the preparation of sales proposals, contracts, and agreements.
  • Collaborate with the marketing team to develop sales materials and promotional strategies.
  • Conduct research on industry trends, competitors, and potential clients to support sales efforts.
  • Help manage customer relationships by providing exceptional service and support.
  • Coordinate with sales representatives to ensure timely follow-up on leads and opportunities.
  • Assist in ensuring all sales mature as expected to achieve estimated revenue

Organizational Assistance:

  • Maintain confidentiality and discretion in handling sensitive information.
  • Prioritize and manage multiple tasks simultaneously, meeting deadlines with efficiency.
  • Contribute to the development and implementation of sales processes and procedures.
  • Identify areas for improvement and recommend solutions to enhance sales operations.
  • Support special projects and initiatives as assigned by sales management.


Qualifications:

To perform this job successfully, an individual must have:

  • Proven experience in administrative support, preferably in a sales or corporate environment.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Excellent communication skills, both verbal and written, with a strong attention to detail. Ability to work independently and collaboratively in a fast-paced environment.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Demonstrated professionalism, discretion, and integrity in handling confidential information.
  • Adaptability and willingness to learn new skills and technologies.
  • Previous experience in sales or customer service roles is a plus.


EDUCATION and/or EXPERIENCE

High School diploma or equivalent and five years minimum administrative experience at an executive level position

LANGUAGE SKILLS

Ability to read and comprehend instructions in English. Ability to write professional correspondence. Ability to effectively present information one-on-one, with customers, executives, and other employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio, and percentage.

COMPUTER SKILLS

Proficient in Microsoft Office Products - Excel, Word, PowerPoint, Outlook
