**Now Hiring: Office Support Specialist**

**Fulltime at HQ - Bozeman, Montana**

We are looking for an Office Support Specialist to join a dynamic engineering team to help us deliver quality products to our customers. Our cutting-edge products are used in medical and research facilities to expand human knowledge in neuroscience and neurology.

**Responsibilities:**

* Facilitate Office Maintenance and Receptionist Tasks

* Set a professional first impression for all incoming callers, visitors, and customers.

* Become proficient operating computer-based multi-line phone system and be able to answer and accurately direct incoming calls while providing exceptional customer service.

* Transfer calls to appropriate individuals and their voice mails. Take messages as necessary and follow through with delivery of them.

* Greet visitors and have them sign-in upon arrival and out upon departure as well as providing them with a security badge or an escort into the building if necessary. In addition, will maintain the visitor log sheets.

* Updating Company office calendar with events and holidays

* General Filing

* Maintain credibility and integrity with respect to confidential matters by following a Human Resources-like confidentiality mindset.

* Processing and distributing mail

* Serve as back-up for preparing and distributing greeting cards to department managers (birthday, farewell, get well soon, etc.) for their EEs, in advance of the actual date.

* Greeting visitors and sign them in upon approval

* Running Company-related errands

* Manage all hospitality responsibilities for internal customers, including but not limited to food and beverage set up/ordering, pick up of items and clean up

* Contacting building service vendors (ie., phone system, printers, utilities, cleaning services) as needed for maintenance or problems

**2) Customer Relations (back-up)**

* Maintain customer and potential customer database

* Enter and confirm incoming Purchase Requests

* Assist Sales by providing and preparing various required documents upon customer request (i.e. vender registration forms or paid invoices)

* Process shipping documentation from inventory to the accounting software

* Prepare various reports as needed

**Qualifications**

* Professional business appearance and presentation

* Excellent phone etiquette

* Excellent organizational and prioritization skills

* Excellent verbal and written communication skills, with exceptional interpersonal communication skills

* Knowledge of MS Word and Excel, with strong keyboard skills

* Ability to work independently on assigned tasks as well as to accept direction on given assignments

* Strong desire to provide exceptional customer service to internal and external customers

* Experience with QuickBooks preferred

* Experience in budgeting and planning

* Background in purchasing, inventory, planning, and MRP systems

* Drivers License
