Job Summary

The Executive Administrative Assistant will provide administrative and general office support to the Consumer Products Division President in a dynamic and fast-paced environment. This position will act as the main resource for their designated ET leaders through all global business and travel, working in collaboration with local administrative support as needed. The role may also help with some personal matters when needed, to ensure the leader is able to focus efforts fully on the business.

Job Functions

  • Manage work and personal calendars, coordinating meetings with internal and external parties.
  • Manage and organize email inbox to assist in proactive and timely responses.
  • Make and manage group travel arrangements, both global and domestic, assisting and/or coordinating ground transportation as needed.
  • Work proactively and anticipate executives' needs, bringing together appropriate people and resources to support the executive in addressing issues.
  • Create, update, consolidate, and/or organize complex reports, presentations, spreadsheets, and documents in Microsoft Office.
  • Assist in the planning and coordination of meetings as needed, including the coordination of related transportation needs, menu planning, and presentation preparations. This is inclusive of enterprise-wide events as needed.
  • Represent the executive by welcoming visitors, arranging company dinners and other corporate functions; answering questions and meeting requests directed to the executive office.
  • Assist in coordinating on-boarding for new employees hired as part of the team. This includes coordination of meet & greet meetings, onboarding schedules, etc.
  • Provide back-up administration support as needed to other members of the Division Leadership team.
  • Continuously look for ways to improve results by studying, evaluating, and re-designing processes and implementing changes and/or enhancements.
  • Assist in preparation of expense reports.
  • Assist with special projects and/or other duties as assigned.


Requirements

  • Minimum 5+ years of Executive Administrative Support at C-level
  • Minimum 5+ years' experience working with Microsoft suite (Word, Excel, PowerPoint, etc.) at an expert level.
  • Must be extremely organized with exceptional time management skills and attention to detail.
  • Must have strong customer service orientation.
  • Excellent verbal and written communication skills
  • Ability to manage multiple projects skillfully and successfully.
  • Ability to work independently and with confidential information.
  • Experience using a variety of different computer hardware and software technology platforms and applications including, Mac, One Drive, One Note, Trip It, Drop Box, What's App, etc.
  • Must be flexible and able to provide a reasonable level of support through a variety of time zones.
