Job Brief

We are looking for an Assistant Facilities Manager to help us maintain a secure and well-functioning, multi-site work environment.

Part of your tasks will be to relocations, repairs, renovations, and facilities maintenance for multiple sites on a regular basis. You will also coordinate with external vendors and contractors and conduct cost analyses when purchasing or planning service requests.

To be successful in this role, you should be well-organized and able to prioritize multiple issues and various locations. You should also have a good knowledge of basic facility operating equipment. You will need strong communication skills and be prepared to layout out processes and procedure for successful completion of each task. This role will require travel to different U.S. locations.

Your role will help equip our employees with a safe, well-functioning environment to accomplish their work successfully.

Responsibilities

  • Arrange for regular maintenance of equipment and internal systems (e.g. heating system, alarms, security cameras, overhead doors, etc.)
  • Check rooms and furniture to identify needs for repairs or renovations or replacement
  • Provide assistance to site managers for facilities operations
  • Monitor activities that happen across the network, such as proper waste disposal and recycling, landscaping, concrete or asphalt repair, gates and fencing repair, building damage or dock repair, etc.
  • Keep track of regular and ad-hoc facility expenses. Follow procedures for quotes, CER's, establish new vendors, obtain appropriate approvals
  • Conduct market research and compare costs and benefits when evaluating new vendors
  • Maintain an updated record of W-9's, COI's and invoices from external partners (e.g. suppliers, insurance agents, security guards)
  • Research new services and appliances to facilitate operations
  • Ensure compliance with safety and security regulations


Requirements

  • Strong knowledge of facilities management operations
  • Familiarity with office equipment and security systems
  • Hands on experience with facilities management software is a plus
  • Understanding of site safety and security regulations
  • Understanding of site mechanical responsibilities, plumbing, electrical, HVAC, fire suppression, life safety
  • Well-organized
  • Sound judgement and the ability to think quickly during emergencies
  • A minimum of 3 years of experience in Facilities Management required
  • A facility manager certification will be a plus
  • Strong computer skills are required. Familiar with all Microsoft software required, and MS project preferred.
  • Travel: 40%
