Job Summary:

Freshco's Facilities Maintenance Coordinators are responsible for servicing multi-site clients across Canada. From start to finish, Facilities Coordinators process work order requests received by our clients, and follow them through to completion into the invoicing process. Furthermore, the Coordinator negotiates rates and develops meaningful relationships with the technicians and monitors their performance.


They professionally respect Freshco with clients, including store managers, corporate facilities managers, technicians, and all other external stakeholders as directed.

Responsibilities of this position include, but are not limited to the following:

  • Manage work orders in Freshco's work order management system (Quickbase).
  • Maintains/updates detailed notes, follow up dates, technician information, financial summary tab on all work orders.
  • Update client platforms (CRM/CMMS).
  • Schedule and complete work orders within the clients' Service Level Agreements (SLA).
  • Dispatch appropriate technicians to complete maintenance requests.
  • Ensure technician meets all Freshco and client requirements.
  • Build and develop a respectful relationship between you and the technician.
  • Prepares end of day reports and handles work order escalations.
  • Prepare and enter quotes in client platform for client approval.
  • Organize multiple emails and prioritize by severity.
  • Collaborates with multiple divisions and multiple stakeholders.
  • Work after hours on-call shifts rotating weeknights and weekends as assigned.

Education and other skills:

  • 2-4 years of experience in the multi-site facilities maintenance or construction industry or logistics industry required.
  • Exceptional customer service and interpersonal skills.
  • Strong oral and written communication skills.
  • Intermediate level computer skills with proficiency in MS Office - Word, Excel, Outlook. Database experience preferred.
  • Experience using QuickBase, Service Channel, or other CRM/CMMS platforms.
  • Exceptional organization and time management skills with the ability to prioritize ongoing tasks across multiple work orders, programs, and platforms.
  • Experience in scheduling and executing multiple work orders with multiple subcontractors.
  • High attention to detail, analytical and problem-solving skills with a solution focused mindset.
  • Bi-lingual language skills preferred (Spanish/French).
  • Ability to work in a fast-paced team atmosphere.
  • Ability to learn to meet the changing requirements of the position.
  • Ability to work effectively and independently from a local Freshco office or remotely when permittable.
