Job Summary:
We are seeking a competent assistant to support three project managers in cold storage construction projects. The ideal candidate will thrive in a small family business and have excellent communication and organizational skills, with the ability to multitask and prioritize tasks effectively.
Responsibilities:
- Answer and direct phone calls in a professional manner.
- Manage incoming and outgoing project correspondence, including mail and email.
- Schedule appointments and meetings, and maintain calendars for management.
- Track project submittals and procurement status
- Handle administrative requests and queries from senior managers.
- Maintain electronic and hard copy filing systems.
- Provide general administrative support to staff as needed.
- Coordinate travel arrangements for staff and management.
- Assist with event planning and coordination.
- Ensure office equipment is properly maintained and serviced.
- Maintain orderliness and cleanliness in common office area and conference room.
Qualifications:
- Proven experience as an administrative assistant or project admin.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Familiar with project management software systems.
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- High school diploma; additional qualification as an Administrative Assistant or Secretary will be a plus.
