Job Details

Carlisle Construction Materials (CCM) has an exciting opportunity for an Executive Assistant to support the President of our metal roofing division, called Carlisle Architectural Metals (CAM) in Waukesha, WI. The ideal incumbent is an experienced professional, decerning, discreet and decisive, who can provide and exceptional level of customer service.


Candidates must possess excellent communication, organizational and administrative skills. They must have a minimum of three years' experience supporting senior executives, preferably multiple. This individual will interact with the external parties representing key strategic relationships as well as the most senior people in the organization. The Executive Assistant will represent and support the senior executives, often acting as liaison between the senior executives and internal associates and external contacts. They should possess the competence, initiative, and business acumen necessary to support the senior executives at the most effective level.


Duties and Responsibilities:

  • Providing high-level administrative support to executive leadership.
  • Preparing PowerPoint presentations including financial data from Excel spreadsheets and descriptive graphic formatting.
  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department.
  • Composing and preparing confidential correspondence, reports and other documents requested with utmost discretion.
  • Assisting in preparation of presentations.
  • Coordinating travel
  • Managing high credit limit travel & entertainment account and prepare expense reports.
  • Maintaining calendars and schedules, directories, and contact information.
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
  • Initiating, coordinating, and updating special projects as assigned.
  • Screening incoming calls and correspondence, distributing appropriately, and responding independently when possible.
  • Performing office administrations such as: interface and manage relationships with outside office vendors such as landlord, cleaning crew, supply vendors, etc.; manage and maintain office supply inventory and ordering; ensure common office areas are neat and orderly; ensure USPS, deliveries and packages are distributed daily.
  • Performing other related duties as assigned.


Required Skills/Abilities/Knowledge:

  • Able to work and network effectively with all levels of management, company associates, external contacts, and vendors.

  • Highly organized, flexible, and detail oriented.

  • Excellent follow through skills and willingness to learn.
  • Able to work independently and as part of a team.
  • Excellent oral and written communications skills.
  • Familiarity with basic finance and accounting functions a plus.
  • High proficiency in MS Office, particularly with PowerPoint, Word, and Excel.


Education and Experience:

  • High school diploma or equivalent.
  • business degree or college credits towards a four-year business degree preferred.
  • least three years of applicable experience in a corporate environment supporting senior executives.
