About the role:

This position supports a designated program through the support of a broad range of tasks. The focal point of this role is to support the program and families within the program from an administrative perspective. This position is expected to build effective relationships and to engage with multiple organizational departments.

This position supports a variety of functional areas within the Educational Services department and the percentage of time spent on the key responsibilities will fluctuate depending on the functional area and the needs of the organization.

What we want you to do:

PROGRAM LIASION

  • Greets and assists visitors and responds to all in person and electronic correspondence; provides accurate information to a variety of contacts regarding the program
  • Works with families and the community to build positive relationships and serves as one of the first contacts for the program; maintains relationships with families and the community through ongoing engagement and communication


PROGRAM ADMINISTRATION

  • Performs general office duties including maintenance of office equipment, distributes mail, etc.; receives supplies for the office and classrooms
  • Creates and distributes relevant communications such as flyers, presentations and mailings to families and the community
  • Provides general administrative support to the program team such as creating reports, data entry, filing and other projects as assigned
  • Assists program staff with the training and troubleshooting with systems; assists with updating program related policies and procedures
  • Supports the coordination of activities such as school events, parent teacher meetings, parent leadership councils and meetings etc.


ENROLLMENT & ELIGIBILITY SUPPORT

  • Enters data from eligibility and enrollment paperwork into the database management system
  • Attends team meetings to discuss enrollment and plan for recruitment
  • Supports the admissions team with other tasks to support admissions, enrollment, and eligibility


DATA ASSISTANCE & DATA ENTRY

  • Enters data into database management system in an accurate and timely manner
  • Downloads data from the database management system; cleans and organizes data for submission to relevant stakeholders
  • Assists with regular staff data entry audits; follows up with employees regarding data entry errors and demonstrates correct method of entry
  • Assists with employee data trainings, and eventually leads trainings
  • Attends meetings with other teams within educational services as needed to support and provide information on data management
  • Supports the data team with other tasks to enhance the department


What we are looking for and what you must have:

  • An understanding of the importance of food security and the food system and its impact on community health, specifically children, is highly desirable.
  • Ability to communicate fluently in both English and Spanish
  • Ability to unload, lift, and carry weight of up to 50lbs, on most days.
  • Ability to identify and seek needed information/research skills; implements creative ways to solve problems while remaining calm in stressful situations.
  • Data analysis and management skills.
  • Ability to multi-task and prioritize; can take initiative with a sense of urgency and motivation
  • Adaptive and experienced working in environments with moving parts and some ambiguity
  • Proficient in Microsoft Office Suite; ability to learn and adapt to new software
  • Passionate commitment to and a sense of urgency for the importance of early childhood development and taking a whole-child, whole-family approach.
  • Knowledge of local trends in food insecurity a plus, particularly as applied to children and families.
  • Ability to manage multiple deadlines and prioritize accordingly.
  • Strong writing and communications skills.
  • Self-motivated and efficient
  • Knows how to build cross-functional relationships across all levels and functions within an organization.
  • Knowledge of economic, cultural, and societal challenges of ethnically diverse communities preferred.
  • Current PPD-TB and physical examination
  • Successfully pass a Colorado Bureau of Investigation and Federal Bureau of Investigation criminal background checks
  • Pass a National Sex Offender Registry Check

Compensation:

  • $19.00-$21.00 Hourly
