Duties and Responsibilities

  • The Office/Access Control and ID assistant answers Public Safety phone calls, monitoring emergency lines and other office lines. The Access Control Assistant Instructs callers with proper responses to various emergency situations. Provides a calm, professional and reassuring voice for potentially upset callers. Gathers relevant information to efficiently dispatch officers.
  • The Office/Access Control and ID assistant dispatches Public Safety Officers to a variety of calls for service. The Access Control Assistant a base radio system communicating information to officers and acts as a liaison between officers and the caller. They record all dispatched calls into ARMS (Automated Records Management System) and monitors officer activity periodically checking officer status.
  • The Office/Access Control and ID assistant answers and monitors Switchboard calls, assists callers with directory information, and transfer calls as necessary. They provide general campus information representing the College in a professional and friendly manner.
  • Office/Access Control and ID Assistant assists Operations Manager creating, printing, programming and issuing IDs for the campus community as well as replacements.
  • Office/Access Control and ID Assistant will program access control cards on Continuum and VingCard and Persona Campus Online systems, monitor and maintain Access Control database including programming details related to unlock times/locations. Additional knowledge of lock style on each building/door (proximity, contact, hard key) is necessary.
  • Office/Access Control and ID Assistant will assist the Operations Manager with technical aspects of the Access Control systems and database with Facilities Management and outside contractors.
  • Maintain check out cards for trades and vendors.
  • Schedule dispatch shifts to be sure all shifts are covered.
  • Communicate Access Control and ID issues to the Operations Manager.
  • Assist with the update and maintenance of policy and procedures related to Access Control.
  • Train and act as a back-up resource to assist Dispatcher and Switchboard personnel.
  • Be knowledgeable of campus locations and organizations and their functions.
  • Issue parking permits to students, employees and visitors to campus.

Qualifications
  • Two years college or equivalent
  • One year related experience or training
  • Excellent interpersonal and communication skills. Ability to articulate and convey information in a clear concise manner.
  • Computer literate with Microsoft Office
  • Ability to understand and speak the English language.
  • Ability to learn and apply current information and instruction quickly and accurately

Physical Requirements

The employee is regularly required to sit, stand and move about the room to work at various machines for programming cards. The employee must be able to speak clearly on the telephone and radio as well as hear clearly to receive calls. The employee must be able to see various computer screen styles as well as look up reference material in binders and flipcharts on the desks.
